About the Job
In search of a Purchasing Coordinator to join an outstanding textile design team in New York. You will help manage the procurement of materials and supplies, ensuring smooth operations and supporting our creative production process. This is a great opportunity to be part of a dynamic and innovative team!
Manage all aspects of fabric and wallpaper orders once client payment has been received including the following:
- Closely scrutinizing quotes generated by the sales team for any erroneous or missing data and working closely with the sales team to correct such errors or omissions.
- Liaising with clients to acknowledge paid orders and provide status updates in a proactive, timely manner
- Generating and sending vendor POs
- Managing all aspects of vendor POs once submitted, including meticulous entry of key data into a complex software program and proactive follow-up with vendors to ensure client delivery deadlines are met
- Meticulously reviewing vendor invoices and submitting them for payment
Manage all aspects of carpet and rug orders once client payment has been received including the following:
- Closely scrutinizing quotes generated by the sales team for any erroneous or missing data and working closely with the sales team to correct such errors or omissions.
- Liaising with clients to acknowledge paid orders and provide status updates in a proactive, timely manner and collecting balance-due payments prior to final delivery
- Generating and sending vendor POs to multiple vendors for each client order
- Managing all aspects of vendor POs once submitted, including meticulous entry of key data into a complex software program and proactive follow-up with vendors to ensure client delivery deadlines are met
- The carpet and rug department requires that dependent, sequential components of client orders (e.g. material, freight, labor/installation, etc.) are managed tightly and closely, keeping in mind the domino-style effect that individual vendor deadlines have on subsequent order components.
- Meticulously reviewing vendor invoices and submitting them for payment.
The ideal candidate will possess the following:
- 2-3 years of experience in a similar vendor-facing role at a rug or carpet showroom or workroom
- Highly professional written communication skills, including excellent grammar and attention to spelling, etc.
- A proven ability to multitask
- Proactive work ethic
- Eagerness and ability to understand processes and protocols rather than perform tasks robotically
- Ability to focus and work in a sometimes noisy open office environment
