Position Summary:
Purchasing Coordinator assist our procurement department to obtain supplies at a fair price. The Purchasing Assistant will contact vendors to acquire quotes for goods, process contracts and invoices, and communicate with trucking companies to ensure products are delivered within the designated timeframe. The Purchasing Assistant will also be responsible for entering items ordered and received into our inventory management system and making sure invoices are paid on time.
Essential Functions:
- Monitor stock levels and identify purchasing needs
- Research potential vendors
- Track and monitor purchases, from initial order to delivery
- Update internal databases with order details (dates, vendors, quantities, discounts)
- Conduct market research to identify pricing trends
- Evaluate offers from vendors and negotiate better prices
- Prepare cost analyses
- Prepare monthly reports listing all purchases, returns and related costs
- Maintain updated records of invoices and contracts
- Follow up with suppliers, as needed, to confirm or change orders
- Liaise with warehouse staff to ensure all products arrive in good condition.
Knowledge, Skills, and Abilities:
- Good understanding of supply chain procedures
- Hands-on experience with purchasing software
- Advanced knowledge of MS Excel
- Knowledge of market research
- Strong communication skills
- Solid organizational skills
Qualifications:
- High school diploma or GED certificate
- Associate or bachelor’s in Logistics, Business Administration or relevant field preferred
- 1+ years of experience in purchasing, procurement, or other administrative roles
- Willingness to work additional hours as needed
