Administrative Support - Purchasing
Provide administrative and clerical support specifically related to purchasing department activities, managers or staff. Maintain files, logs, records of invoices, purchase orders and other related documentation. Maintain information on computer systems, as well assists in expediting orders. May contact vendors to obtain prices and schedule delivery dates. May develop and maintain resources for assigned commodity items. Prepare standard requests for quotation. Could be responsible for RoHS (Restriction of Hazardous Substances) program - maintaining data, receiving certificates.
Job Purpose
To provide administrative support specifically related to the Purchasing Department’s activities, staff and management.
Nature of Duties/Responsibilities
- Enter Manual PO’s
- Administrator will need to maintain the following items: change dock dates, pricing, PPV, Lead-time, RDL, Past due, ASN (Advanced Ship Notices)
- Maintain files, logs, purchase orders and other related documentation on the computer system and in hard copy form
- Send out weekly EDI releases along with Supplier reschedules
- Daily upload of supplier reschedules information
- Will need to send out reminders to suppliers that are not responding to weekly releases
- Generate and maintain daily/weekly reports
- Assist in expediting orders
- May contact vendors to obtain prices and schedule delivery dates
- Attention to detail
- Ability to work in a very fast past environment
- Ability to sit, walk or stand for long periods of time
Education and Experience
- High School Diploma or equivalent
- Minimum 2 years’ experience
- Excel skills of Intermediate or Advanced (i.e. V-Lookup and formulas)
- Basic filing and office skills
- Oracle experience a plus
