Job Summary: The Purchasing Administrative Assistant will provide support to the purchasing department, assisting with the procurement of goods and services, maintaining accurate records, and ensuring efficient and timely processing of purchase orders. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
- Assist in the preparation and processing of purchase orders and requisitions for supplies and equipment.
- Maintain and update inventory records, tracking the status of requisitions, contracts, and orders.
- Communicate with suppliers to obtain product or service information, including price, availability, and delivery schedule.
- Review and verify the accuracy of invoices and purchase orders.
- Coordinate with internal departments to ensure that procurement needs are met and to resolve any issues that arise.
- Assist in the negotiation of contracts and terms with suppliers.
- Monitor and follow up on outstanding purchase orders and delivery schedules.
- Maintain and organize procurement files and records for easy retrieval.
- Support the purchasing team with administrative tasks such as data entry, filing, and correspondence.
- Assist with special projects and other duties as assigned.
