Summary
Our client in the architecture and engineering industry is seeking a Proposal Manager for their Philadelphia, PA, or Raliegh, NC, office. This pivotal role will lead the coordination and production of proposals, presentations, and responses in collaboration with the firm’s leadership. They will manage collateral materials development, external communication, sector messaging and alignment with firm identity, and market research across all of our client’s regions. This role is an instrumental part of our client’s ability to respond to RFQs, RFPs, and other presentations.
This position will be located in either Philadelphia, PA, or Raliegh, NC, and will support their other regional offices, including Austin, TX.

This position will operate like a traffic coordinator and be able to track where each proposal is in its process, manage the projects and deadlines, and ensure communication with internal and external stakeholders.

This position will continuously monitor new and innovative ways to present information to prospective clients. They will partner with graphic design to bring these new ideas to life and work with leadership to integrate them into their proposals and branding for the firm.

About the role
Critical parts of the job
- Lead production and coordination of LOI, RFQ, RFP, and presentation responses.
- Participate in marketing and client strategy sessions.
- Develop project outlines and identify and schedule tasks and deadlines.
- Request, collect, and organize information from consultant teams.
- Ensure proposal compliance and responsiveness.
- Ensure submissions are properly formatted using flexible InDesign templates.
- Assist in developing and managing the firm’s marketing content, collateral, and data.
- Produce templates, boilerplate information, project descriptions, and other necessary forms and documentation.
- Collaborate with their leadership and graphic designer to create and update marketing, brand collateral, and qualification materials.
- Maintain and organize data needed for proposals and qualifications.
- Other duties and responsibilities that may be assigned or needed to support our client's firm's marketing and business development efforts.

- Outstanding organizational skills and the ability to track the status of each proposal and response in the process.
- The ability to juggle a few competing priorities and be flexible to changing goals and demands on your time.
- Bachelor’s degree, or 4-year equivalent, in a related field.
- Five (5) years of experience coordinating responses to RFIs, RFQs, RFPs.
- Strong organizational and time management skills
- Strong written and verbal communication skills with the ability to communicate with all levels of an organization.
- Expert skills in Microsoft Word, PowerPoint, Excel, and Adobe Suite (InDesign and Acrobat)
- Experience supporting one or more of the following market sectors preferred: Biotechnology & Pharmaceutical; Community Services & Mission Critical; Cultural & Museums; Education; Industrial & Manufacturing; Science & Technology; Workplace.
- Experience with Data management preferred.
- Familiarity with Standard Form 330 preferred
- A basic understanding of A/E/C industry terminology and procedures is preferred.
