- Minimum of 1 year of experience in real estate property management or related field
- Proficiency in Microsoft Office Suite
- Demonstrates initiative and urgency in daily duties, meeting or improving upon deadlines
- Ability to ascend and descend staircases, ladders, and/or step stools, and travel outside between buildings in varying outdoor weather conditions
- Ability to remain stationary (sit or stand) for 85% of the time; regularly operate office machinery
Responsibilities:
- Assist in all areas defined as part of the Senior Assistant Property Manager job description, and perform property administrator duties if necessary
- Ensure a high level of professionalism and foster positive relationships with tenants and clients
- Provide full administrative support, including phone support, typing, reports, filing, and distribution of correspondence
- Coordinate office supplies in the absence of a property administrator
- Assist in lease administration activities, including abstracting leases and maintaining the database
- Ensure all property files, including leases and contracts, are prepared and maintained orderly
- Prepare and coordinate bid proposals and service contracts
- Obtain aging reports for management and follow up on delinquencies per company policies
- Ensure invoices are processed in accounting with appropriate backup and according to procedures
- Coordinate tenant move-ins and move-outs, including furniture delivery and pick-up
- Oversee maintenance of work order and purchase order systems
- Develop and maintain a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, newsletters, and training programs
- Ensure tenant information in the database is current
- Update and maintain office procedures in the property Operations Procedure Manual
- Ensure Certificates of Insurance for tenants and vendors are current
- Oversee processing of management and maintenance staff hours, expense reports, and check requests
- Ensure tenant bill-backs for electrical usage, after-hours HVAC, and similar charges are processed timely
- Assist with annual budget preparation and monthly financial reports
- Lead regular property inspections with service providers
- Participate in performance oversight of all service contractors
- Routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
- Stand and walk for extended periods while performing duties
