Schedule: Monday to Friday, 9:00 AM to 6:00 PM, Hybrid (In office/remote)
Starting Salary Range: $71,586.00 to $87,500.00/year
Job Summary:
The UDW Property Coordinator is responsible for coordinating and overseeing all necessary permits and approvals required for development projects of all assigned UDW properties. They will ensure compliance with local building codes, regulations, and environmental requirements. Additionally, they will assist in the coordination and supervision of development projects, monitor project timelines and budgets, and facilitate effective collaboration among internal teams, external consultants, and contractors. The UDW Property Coordinator will conduct financial analysis and feasibility studies to develop accurate project budgets and cost estimates. They will also oversee vendor relationships, conduct site inspections, and prepare detailed reports on project status, issues, and recommended actions. Administrative tasks, such as event planning and file management, are also part of their responsibilities.
Duties and Responsibilities:
Administrative:
• Interact courteously and tactfully with managers, co-workers, members, vendors, or associates.
• Partner with leaders and critical operations to effectively oversee to change schedules and priorities and communicate to all involved parties.
• Order materials and supplies for departmental events and meetings.
• Assist with event planning, logistics, tracking event vendors, and other related projects.
• Perform periodic audits of files and records to ensure that all required documents are collected and filed appropriately.
• Establish and maintain hard copies and/or electronic filing system.
• Create spreadsheets and update/maintain department databases.
• Assist with department projects and perform other duties as assigned, which are reasonably within the scope of work in this job classification.
Project Coordination:
• Assist in the coordination and supervision of development projects, collaborating with various teams and stakeholders to ensure timely completion.
• Organize and maintain project documentation, including contracts, plans, permits, and other relevant records.
• Monitor project timelines, budgets, and resources to ensure project milestones are met.
• Implement project management tools and techniques to streamline project coordination efforts and improve communication among team members.
• Conduct regular project meetings to provide updates on project status, address challenges, and align priorities.
• Identify and mitigate project risks by creating contingency plans and coordinating with relevant stakeholders.
• Facilitate effective collaboration between internal teams, external consultants, and contractors to ensure seamless project execution.
• Continuously evaluate and improve project coordination processes and workflows to optimize efficiency and resource allocation.
Budgeting and Cost Control:
• Conduct thorough financial analysis and feasibility studies to develop accurate project budgets and cost estimates.
• Implement cost control measures, such as value engineering and cost-saving initiatives, to achieve project objectives within budget constraints.
• Monitor and analyze project expenditures regularly, identifying areas of overspending or cost overruns.
• Develop and maintain relationships with suppliers and vendors to negotiate favorable pricing and terms.
• Provide regular cost reports to management and stakeholders, highlighting variances and recommending corrective actions to maintain budget compliance.
Permitting and Compliance:
• Coordinate and oversee all necessary permits and approvals required for the development projects, ensuring compliance with local building codes and regulations.
• Research and stay updated on zoning, planning, and environmental regulations to ensure adherence to legal requirements.
• Liaise with government agencies and local municipalities to secure necessary permits and resolve any issues that may arise.
• Develop and maintain relationships with local regulatory agencies and officials to streamline the permitting process and ensure timely approvals.
• Conduct periodic audits and internal reviews to ensure ongoing compliance with all building codes, regulations, and environmental requirements.
• Collaborate with legal counsel to mitigate risks associated with permit violations and non-compliance.
• Explore innovative approaches to sustainability and green building practices to enhance compliance with environmental regulations.
• Proactively identify any potential regulatory changes or updates that may impact current or future development projects and adapt strategies accordingly.
Vendor Management:
• Develop and implement a comprehensive vendor qualification and selection process to ensure the engagement of reliable and reputable vendors.
• Establish and maintain strong relationships with key vendors, contractors, and suppliers, fostering partnerships based on trust and open communication.
• Conduct regular performance evaluations of vendors to monitor quality, timeliness, and adherence to project specifications.
• Negotiate favorable terms, contracts, and service level agreements with vendors to maximize value and minimize risk.
• Continuously seek out new and innovative vendors, contractors, and suppliers to diversify options and improve project outcomes.
Site Inspections and Reporting:
• Conduct regular site inspections to monitor progress, quality, and compliance with project specifications and safety standards.
• Prepare detailed reports and documentation on project status, issues, risks, and recommended action
• Implement a robust site inspection schedule to ensure adherence to project specifications, quality standards, and safety guidelines.
• Create detailed inspection checklists and protocols to document findings and track corrective actions.
• Collaborate with project teams to address any issues or non-compliance identified during inspections promptly.
• Develop comprehensive reporting templates that provide clear and concise information on project status, progress, and potential risks.
• Regularly analyze inspection data to identify trends, patterns, and areas for improvement in project execution and site management
Knowledge, Skills, and Abilities:
• Thorough understanding of property development principles, practices, and procedures, including zoning regulations, building codes, and land use policies.
• Strong analytical and research skills to assess market trends and conduct feasibility studies for potential development projects.
• Ability to coordinate and oversee project timelines, budgets, and resources effectively.
• Knowledge of construction processes and ability to oversee the progress of development projects.
• Familiarity with environmental impact assessments and sustainability practices in property development.
• Proficiency in using computer-aided design (CAD) software and other relevant tools to create and review architectural and engineering plans.
• Excellent communication and negotiation skills to collaborate with contractors, architects, engineers, and other stakeholders throughout the development process.
• Experience in conducting site evaluations and due diligence to ensure compliance with legal and regulatory requirements.
• Strong financial acumen and ability to analyze investment opportunities, conduct financial modeling, and prepare business cases for property development projects.
• Understanding of risk management techniques and ability to identify and mitigate potential risks in property development.
• Knowledge of market research methodologies and ability to assess market demand and pricing for various types of properties.
• Exceptional organizational skills to oversee multiple development projects simultaneously and prioritize tasks effectively.
• Proficiency in using project management software tools to track project progress, maintain documentation, and facilitate collaboration among team members.

• Expertise using Microsoft programs, including Word, Excel, PowerPoint, Teams, and Outlook; Zoom; task management software like Asana; and accounting platforms Quickbooks, Certify, Divvy, and Corpay.

• Knowledge of standard business documents and table formatting to prepare materials accurately.

Preferred Qualifications:
• Bachelor's degree in Construction Management, Engineering, Architecture, or related field.
• Minimum of 5-7 years of experience in property development, construction management, or a similar role.
• Strong knowledge of building codes, permits, and regulations.
• Proficiency in project management software and tools.
• Attention to detail and a commitment to delivering high-quality work.
• Ability to work independently and in a team environment.
• Effective administrative and clerical skills.
• Excellent written and verbal communication skills.
