Summary:
The Project Support Specialist will provide critical administrative, data analysis, and logistics support to the emergency response fueling team. This role involves assisting with data management, reporting, logistical coordination, and administrative tasks to ensure efficient and effective fuel management operations during disaster response efforts. This position is part of our Emergency Response Cadre Team and will support our Emergency Fuel Management Services Division that will be rapidly deployed to respond to disaster events throughout the United States.

Responsibilities:
- Assist with the preparation and maintenance of documentation related to fuel management operations, including contracts, purchase orders, and regulatory compliance records.
- Handle scheduling, correspondence, and coordination of meetings for the fuel management team.
- Maintain and organize files and records in both digital and physical formats.
- Collect, analyze, and report data related to fuel procurement, distribution, and inventory levels.
- Generate regular and ad-hoc reports to support decision-making processes for the fuel management team.
- Monitor key performance indicators (KPIs) and identify trends or issues that require attention.
- Assist in the coordination of logistics for fuel delivery and distribution, including tracking shipments and managing inventory levels.
- Support the planning and execution of logistics for fuel dispensing equipment setup and maintenance.
- Liaise with vendors, suppliers, and transportation providers to ensure timely and accurate delivery of fuel and equipment.
- Maintain clear and effective communication with internal team members and external partners, including government agencies, clients, and contractors.
- Assist in the preparation and dissemination of communication materials, such as updates and reports, to stakeholders.
- Coordinate with the Fuel Operations Manager and Supervisors to ensure alignment and support for field operations.
Qualifications:
- High school diploma or equivalent. Minimum of 2 years of experience in administrative support, data analysis, logistics, or a related role. Associate degree or higher in business administration, logistics, data management, or a related field preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data management software.
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced, high-pressure environment.
Preferred Qualifications:
- Experience in emergency response or disaster recovery operations.
- Knowledge of fuel management processes and logistics.
- Familiarity with government procurement processes and regulatory compliance.
