The purpose of this requirement is to maximize your access to support and acclimate you quickly. Starting wage for this position is $65k - $70k.
We have an exciting opportunity for someone to join our Finance team. If you like organization and managing important firm-wide initiatives - this could be the job for you! The person in this role is tasked with managing the Chief Financial Officer’s schedule and when assigned, managing project planning, including setting action items, assignments and workflows.
As a Project Manager/Executive Assistant You Will:
- Manage assigned projects and timelines for the department and ensure the Chief Financial Officer (CFO), and other key stakeholders stay on track.
- Ensure efficient project meetings by preparing agendas, sending calendar invites, taking notes, and following up with everyone on deadlines and assignments.
- Keep yourself and the CFO organized by creating and using Trello boards and other project management tools.
- Take initiative and ownership of the work, ensuring progress through to completion.
- Communicate regularly and clearly via emails to the members of the firm from yourself and on behalf of projects/the CFO.
- Gather firm feedback by proactively touching base with team members, providing status updates, and sending out Google Forms.
- Stay abreast of upcoming internal meetings, attending as a departmental representative and taking notes/providing follow up as needed.
- Prepare documents, spreadsheets, and presentations as needed by the CFO, including but not limited to staff meetings, data tracking, and executive-level presentations.
- Manage the budget-approval process by communicating with the CFO and other department resources, gathering data for approval.
Must-Haves:
- 3 years of professional experience (in any field). Experience with projects, administrative tasks and tools creates a clear competitive edge.
- Outstanding communication and facilitation skills, with the ability to write clear emails, create masterful agendas, read the room, and redirect conversation in real time.
- Ability to problem solve, with an aptitude for resourcefulness. When something unexpected arises, remains calm and finds the right solution.
- Excellent organization skills and attention to detail, with the ability to prioritize deadlines and keep track of people, workload, and moving targets.
- Great collaboration skills and teamwork mindset.
- Ease with technology and comfort in learning new skills/software, such as G-Suite apps, Trello, SalesForce, Zoom, and learning management software.
- Embraces a spirit of self reflection and growth. Takes initiative to tactfully identify, callout, and amend areas of improvement within Finance policies, processes and protocols.
- Prior project management experience or certifications is not required, but provides a competitive edge.
