Job Summary:
The Project Documentation Administrator will be responsible for coordinating and managing the documentation related to project design, project management, engineering, fabrication, and quality control. The Project Documentation Administrator will also coordinate meetings and communication with customers related to project status.
Primary Duties and Responsibilities:
- New Order Kick-off: Schedule meeting with internal and external stakeholders
- Schedule and coordinate in-person and virtual meetings with customers as required to comply with internal requirements and customer specifications.
- New Order/Project Set-up in Smartsheet.
- Communication with customers: send order acknowledgement, preliminary schedule, approval drawings, revised drawings, & release for fabrication drawings.
- Required Document Submittals: Communicate and follow up with team members for required documentation and due dates. Submit to customer via email or portal.
- Update or create new procedures when applicable.
- Create/Develop Change Orders.
- Change Orders submittals and communication to customers.
- Update Smartsheet invoice with appropriate contacts for surveys.
- Enter Major Material Milestones on Smartsheet invoice.
- Update Project Management Job Processing with jobs to shop hours.
- Smartsheet scheduler; update schedules with internal input and communicate to customers.
- Support QC Documentation.
- Document controller: customer orders, order acknowledgement, drawings, and customer meetings
Competencies:
- 5+ years’ experience in manufacturing engineering environment. Experience with fabrication preferred.
- Mechanical aptitude necessary to comprehend information and communicate with stakeholders
- Working knowledge of computers, including MS Word, Excel, and Teams. Experience with Smartsheet or MS Project preferred.
- Knowledge and experience with document control and process/procedure development and maintenance. Familiarity with ISO9001, APQP, or similar quality standards preferred.
- Good organizational skills.
- Excellent communication and interpersonal skills.
- Balanced temperament and ability to improve the customer experience for Bendel’s clients.
Education/Certifications:
- Project Management Certificate preferred.
Travel:
- Able and willing to travel as necessary. Travel will be minimal, less than 5%.
