We are currently looking for a Project Coordinator to join our Department of Medicine team. This full-time role will primarily work days with occasional early evening hours. This is a grant funded position with a term date of 6/30/2026. Potential of being extended 1-3 plus years, depending on funding.
SUMMARY
This position will serve as a point person for and manage related program logistics for various parties within the organization and with external partners. The major responsibility of this position will be to manage Integrative Health’s Center for Training, Learning, and Coordination – Wellness on Wheels (TLC – WoW) project. TLC-WoW will bring Integrative Pain Management, Community Engagement, and Group Medical Visit training across Minnesota through training providers and systems across the state, improving access to holistic care for people living with chronic pain as upstream prevention of Opioid Use Disorders state-wide.
The position will help create an understanding of project management with internal/external partners in order to gain support, collaboration, and motivation, as well as promote adaptation in rapidly changing environments. The Project Coordinator is responsible for developing learning materials, coordinating training sessions, managing communications with partners/sub-awardees, collecting data and associated databases, and implementing all tasks that relate to this specific project as well as other grant projects within the Department of Medicine.
RESPONSIBILITIES:
- Coordinate major project events such as the kickoff, milestone readiness reviews, and celebration for the internal team and external partners
- Coordinate activities, resources, equipment, and information and update key project documents as needed
- Identify, research, and resolve project issues and escalates as appropriate
- Assure project team completion of action items
- Assist in the development and analysis of data as required, working in partnership with the research coordinator and TLC-WoW Leadership Team as needed
- Contribute to ongoing departmental and project-specific process improvement efforts
- Assist staff with operational, project, system or administrative tasks
- Meet with the project leads or manager to understand all vital aspects of the TLC WoW program
- Coordinate projects and meetings with internal team and external partners
- Provide support in the areas of vendor/contractor set up, invoice processing, and preparation budget reports
- Ensure that all team members understand the scope of the project as well as what they are individually responsible for
- Compile and maintain interim project reports and minutes of meetings
- Communicate relevant information to all team members
- Assist the project leader in various activities such as budget monitoring, sub-awardee reporting and invoicing, scheduling, etc.
- Support throughout the entire project lifecycle
- Other duties as assigned
QUALIFICATIONS
Minimum Qualifications
- Bachelor’s degree
- Three or more years of experience in coordinating project activities, preferably in Healthcare Organizational skills with the ability to identify and manage priorities
OR
- An approved equivalent combination of training and experience
Preferred Qualifications
- Master's in Public Health or Advanced degree in healthcare related field
- Knowledge of or an understanding of Change Management best practices
- Proficiency with project management software
- Bachelor’s degree in a healthcare field
- Interest and/or training in Complementary and Integrative Medicine modalities and subjects (tai chi, qi gong, yoga, meditation, health coaching, nutrition, massage, energy healing, etc.).
Knowledge/ Skills/ Abilities
- Strong interpersonal skills with an ability to interact with executive level, external and internal clients
- Proficiency with Microsoft Office Suite
- Ability to effectively prioritize multiple tasks, priorities, projects, and deadlines
- Demonstrated presentation skills
- Excellent written and verbal communication skills for both client-facing and internal communication
- Passion for innovation and strong interest in Change Management best practices
- Ability to deal with ambiguity and changing priorities
- Strong customer/client service orientation
