Project Coordinator- Precision Vaccines Program - Boston Children's Hospital

The Precision Vaccines Program (PVP) is the newest Department within BCH, and hosts multiple laboratories, working in parallel on both basic and translational research in the areas of immunology, infectious diseases, and vaccinology. To support these endeavors, the PVP has dedicated administrative staff, post-doctoral scientists, physicians, research fellows and technicians, and a research laboratory manager to our large portfolio of vaccine development projects. Within the PVP, the Adjuvant, Innovation, Discovery and Development (AIDD) Lab, led by Dr. David Dowling, focuses on understanding immune responses in vulnerable and immunologically distinct populations (e.g., newborns, elders, immune-compromised, opioid use disorder (OUD) patients) and uses our discoveries to help design efficient and lasting vaccines and therapeutics.

Under direct supervision, and in collaboration with the administrative team, the project coordinator is expected to provide advanced administrative support to implement the goals of various projects, develops plans and systems and coordinates the day to day activities in order to ensure project deliverables and deadlines are achieved.

The Project Coordinator shall be responsible for:

• Coordinating the day to day activities of the project, including the recruitment of project staff, setting up records systems, and organizing meetings and conferences.
• Gathering all project information: schedules, data requests, assignment task, and project meetings.
• Working with the project team and administrative team to understand and assist with tracking all work, task and project assignments.
• Working with Project Manager, assisting in developing a comprehensive workflow process for project.
• Monitoring and modifying project schedule as assigned.
• Maintaining document control, database management, tracking project activities and team communication. 
• Acting as liaison with the relevant work groups and clinical areas. Developing linkages between these areas. Acting as liaison with other department and regulatory agencies and consultants on analyses of financial, clinical or administrative data
• Working with admin team, to assist with pre and post-award grant management tasks
• Overseeing and facilitating the production of training materials, newsletters and other appropriate products generated by the project.

To qualify, you must have:

• Work requires the knowledge of theories, principles, and concepts typically acquired through completion of a Bachelor’s degree in a health related field and at least one to two years’ experience in an administrative support role and/or projects-related role.   Master’s degree preferred.
• Work requires the ability to effectively coordinate the activities of employees within assigned unit/department.
• Work requires effectively dealing with conflicting views or issues and mediating fair and workable solutions.
• Technically competent with various software programs such as Word, Excel, PowerPoint etc.  Familiarity with project management software a plus.
