Summary:
The Project Coordinator is responsible for supporting the Company’s key accounts and sales team. This role plays a crucial part in facilitating the successful execution of projects, ensuring customer satisfaction, and supporting the overall project management efforts under the guidance and collaboration of the VP of Sales and Business Development.
Essential Duties and Responsibilities:
Project Coordination:
- Assist the Key Account Manager in coordinating and managing solar EBOS (Electrical Balance of System) projects for clients.
- Support project planning, scheduling, and resource allocation to ensure projects are delivered on time and within budget.
- Track project progress, milestones, and deliverables using appropriate tools and systems.
Customer Relationship Management:
- Serve as a centralized point of information flow for the key customer, addressing inquiries, providing updates, and resolving issues promptly.
- Maintain strong relationships with customers alongside the Key Account Manager to understand their requirements and preferences.
- Participate in virtual and in-person meetings with key stakeholders to ensure Voltage teams handle each project with a high level of detail.
Documentation and Reporting:
- Prepare project documentation, including project designs, schedules, status reports, and meeting minutes.
- Assist in the preparation of proposals, schedules, and other relevant project documentation.
- Ensure all project details are accurate, up-to-date, and accessible to stakeholders
Coordination with Internal Teams:
- Collaborate closely with internal teams such as engineering, production, sales, and logistics to ensure smooth project execution.
- Coordinate project details through internal project management systems and CRM.
- Monitor project schedules and ensure timely delivery of project materials and documentation to the customer.
Quality Assurance and Compliance:
- Ensure compliance with project specifications, industry standards, and regulatory requirements.
- Participate in regular performance reviews with customers, ensuring project materials meet standards and are available in a timely manner.

Education/Experience/Skills:
- Bachelor’s degree in Engineering, Business Administration or related field required.
- Proven experience (3+ Years) in project coordination or project management, preferably in the solar, electrical or construction industry.
- Knowledge of Electrical Balance of System (EBOS) components and systems is highly desirable but not required.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with the ability to communicate effectively with internal and external stakeholders.
- Proficiency in Microsoft products, and CRM software.
- Ability to work independently and as part of a team in a fast-paced environment.

Physical Requirements/Work Environment:
Work is performed in an office environment with occasional traveling to customer sites and events (traveling up to 25%). Must have a valid driver’s license with a clean driving record.
