SUMMARY:
We are currently looking for a Project Coordinator to join our Department of Medicine team. This full-time role will primarily work days with occasional early evening hours. This is a grant funded position with a term date of 6/30/2025 with potential to extend for another year.
This position will serve as a point person for educational efforts and coordinate related program logistics for Integrative Health Project ECHO programs with various parties within the organization and with external partners. The major responsibility of this position will be to coordinate Integrative Health (IH) Project ECHO initiatives within the Department of Medicine. Project ECHO is a knowledge-sharing initiative that uses technology to ensure the right knowledge exists at the right place at the right time to take care of people in rural and underserved areas. We currently host ECHO initiatives that help healthcare teams across Minnesota (and beyond) care for people struggling with complicated or problematic opioid use, including addiction, perinatal substance use, viral hepatitis, and associated conditions. This role will coordinate the expansion of our Project ECHO offerings to include Integrative Pain Care, Trauma-Informed Care and Health Equity, and Addiction/Integrative Pain Care for Community Health Workers and Peer Recovery Specialists.
The position will help create an understanding of project management with internal/external partners in order to gain support, collaboration, and motivation, as well as promote adaptation in rapidly changing environments. The Project Coordinator is responsible for developing marketing materials, coordinating Project ECHO sessions, managing communications with partners, collecting data and associated databases, and implementing all tasks that relate to this specific project as well as other grant projects in the Department of Medicine.
RESPONSIBILITIES:
· Coordinates major project events such as the kickoff, milestone readiness reviews, and celebration
· Coordinates activities, resources, equipment, and information and update key project documents as needed
· Identifies, researches, and resolves project issues and escalates as appropriate
· Assures project team completion of action items
· Assists in the development and analysis of data as required, including regularly updating and entering information on the IH ECHO programs into the iECHO platform
· Contributes to ongoing departmental and project-specific process improvement efforts
· Assists staff with operational, project, system, or administrative tasks
· Meets with the project leaders or manager to understand all vital aspects of the Project ECHO programs
· Coordinates projects and meetings with cross-functional teams
· Compiles and maintains interim project reports and minutes of meetings
· Coordinate administrative and operational aspects of an ECHO session with the project manager, hub team, and participants, to ensure all aspects of ECHO sessions are prepared and run smoothly
· Liaise between the ECHO program team and remote participants and assist program team with reporting and outreach tasks
· Provides administrative and operational support for Hub team and Spoke participants, including setting up zoom links, sending email reminders, managing feedback surveys, providing support for zoom functionality during ECHO sessions, etc.
· Assists in the production and distribution of ECHO materials and schedules
· Establish, manage, and update ECHO spoke email distribution lists for each ECHO
· Executes surveys and feasibility studies for policy formation and improvement of services
· Conducts training for other spoke participants in relation to the duties of a distance education coordinator
· Coordinates the development and preparation of marketing and promotional plans and/or materials, as appropriate to the program
· Provide support in the areas of vendor set up and invoice processing and of preparation budget reports
· Serves as liaison between hub facilitators and spoke participants
· Facilitates and enhances day-to-day operating relations with site coordinators and other stakeholders, as appropriate to the position
· Supports throughout the entire project lifecycle
· Other duties as assigned
QUALIFICATIONS
Minimum Qualifications:
- Bachelor’s degree in a healthcare field
- Three to five years of experience in coordinating project activities, preferably in Healthcare Organizational skills with the ability to identify and manage priorities

- An approved equivalent combination of training and experience
Preferred Qualifications:
- Knowledge of or an understanding of Change Management best practices
Interest and/or training in Complementary and Integrative Medicine modalities and subjects (tai chi, qi gong, yoga, meditation, health coaching, nutrition, energy healing, etc.). or public health.
Knowledge/ Skills/ Abilities:
- Strong interpersonal skills with an ability to interact with executive level, external and internal clients
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite
- Ability to effectively prioritize multiple tasks, priorities, projects, and deadlines
- Demonstrated presentation and communication skills
- Excellent written and verbal communication skills for both client-facing and internal communication
- Passion for innovation and strong interest in Change Management best practices
- Ability to deal with ambiguity and changing priorities
