Job Title: Project Coordinator
Department: Operations
Supervisor: Operation Manager
Essential Duties and Responsibilities include the following (other duties may be assigned):
Coordinating multiple projects and ensuring they run smoothly from beginning to completion
Acting as the initial main point of contact and liaison between the customer, subcontractors, crew members, management, sales, and operations
Coordinating the preparation of projects including:
o Leading the project transition from sales to operations by reviewing the project quote with the customer to ensure all expectations are set appropriately
o Attending weekly project scheduling meetings
o Assigning the crew to projects and communicating with crew their schedules
o Ensuring crew is properly trained, drug tested, badged, and background checked for their assigned project
o Working with office administrator to ensure booking of all travel arrangements
o Renting and coordinating delivery of all supporting equipment for projects
o Ordering materials needed for projects
o Creating job packets for crew and effectively communicating the scope of the project to the crew
o Working with Operations Manager to ensure all equipment required for the project is prepared and loaded
Coordinating the day-to-day execution of projects considering scope, timeline, and budget including:
o Ensuring all supporting equipment is in place at the start of the project
o Coordinating with Project Engineer to ensure the correct setup of the jobsite and verifying that the project is within scope
o Checking-in daily with the jobsite crew to identify and coordinate the immediate resolution of all jobsite issues
o Checking-in periodically with the customer throughout the project to identify issues and ensure customer satisfaction
o Notifying the appropriate person timely of any identified issues to ensure their resolution
o Tracking job progress and ensuring the project remains on schedule
o Ensuring the crew submits all required reports timely and accurately and complies with all Company policies
o Coordinating the tear-down of the jobsite at completion and ensuring customer satisfaction
Reviewing subcontractor bills for accuracy
Tracking crew member time, attendance, and per diems daily
Assisting with recruiting, interviewing, and hiring of field personnel
Supervisory Responsibilities
Directly supervises field employees which includes Field Technicians and Crew Leaders. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include scheduling and assigning employees, directing work, appraising performance, rewarding and disciplining employees, and addressing complaints and resolving problems.
