Description: The Project Coordinator is responsible for, but not limited to, supporting the Sales Department with customer accounts, customer communication, and creating/entering/converting job orders. Jobs/orders are to be managed from creation to completion with continuous follow through with all departments. The Project Coordinator must be self-motivated and able to perform under pressure in a fast-paced, deadline driven environment.
Responsibilities
• Provide customer service to new and current clients by either hand-off from Sales Department or incoming requests via email, phone, or walk-in.
• Review with customers the manufacturing capabilities and requirements needed for a successful job. Make recommendations to customers for material use, installation method, size efficiencies, and design direction.
• Verify job needs and details with Operations Manager, Installation Coordinator, and/or Creative Department prior to estimate/job entry.
• Coordinate production components with internal departments and/or external vendors as needed to ensure all job parts will meet deadlines.
• Confer with customer throughout production to keep them informed of the status of the job/s, request additional information if needed and/or coordinate changes to job. Review and forward proofs to customer, provide Creative Department with any changes to proof from the customer, and confirm approval of proof from customer. Schedule and coordinate an install if needed with Install Coordinator, Sales, and CSR team.
• Monitor progress of jobs throughout production, confer with Creative Department, Production Team, and Installation Team to ensure final product meets customer requirements and company standards.
• Provide follow-up details to Sales weekly on open orders.
• Maintain and update order/estimate status through the S&OP in Pace.
• Assist Sales and/or customers with RFP process by supplying estimates and determining how to efficiently complete a job.
• Resolve problems with unsatisfied customer/s.
• Take initiative to gain product knowledge of materials, hardware, and overall production.
• Conduct site survey and take measurements for customers.
• Deliver completed jobs to customer locations and/or coordinate customer pickups at job completion.
• Contribute to warehouse with packaging and shipping (when needed).
• Maintain a team-oriented attitude – a willingness to help in any department required.
Qualifications

• Proficient in Microsoft Office Professional Email (High Capacity)
• Ability to prioritize and multitask.
• Excellent written and verbal communication
• ‘Ability to prioritize and organize projects through multiple phases.
• Ability to meet deadlines and to follow through on multiple tasks simultaneously with careful attention to detail and with minimal supervision.
• Demonstrated skill in using personal computer and specialized software (MS Office Suite) to prepare graphs, flow charts, tables, slides, etc.
• Interpersonal skills to effectively develop and maintain cooperative working relationships.
• Ability to communicate effectively and function in a team-oriented work group.
• Strong organizational and time management skills
Work Hours: Monday-Friday 8:00 am – 5:00 pm. (Remote work from home not available).
Work Experience: 2 – 3 years
Pay Rate: $22 - $26 per hr. (DOE)
