Job Description:
General Summary:
Working under the mentorship of a Project Manager the Project Coordinator is responsible for the identified aspects of the project life cycle including assisting with the coordination of activities including project documentation and maintenance through final invoicing and post-construction activities.
Essential Functions and Responsibilities:
Project Cost Management
Assist in the maintenance of a current, balanced project budget, and assist in the development of the schedule of values for billing purposes. Assist with timely, accurate preparation of invoices to owner, measured by monthly reports.
Project Support
Process timely contract-related transactions including Change Orders and Proposed Change Orders to suppliers, subcontractors, and owners. Assist in the preparation of accurate, timely Subcontracts and Purchase Orders to subs/suppliers, ensure signed copies are issued, data entered into the software, as needed, and filed appropriately. Responsible for ensuring project files are maintained current. In addition, provide copies of applicable correspondence as needed. Process timely, accurate Submittals, Requests for Information (RFI), and Transmittals. Obtain and file Certificates of Insurance, as the project requires. Maintain current, accurate, document logs. Assist with preparation of closeout documentation including as-builts, O & M’s and warranties. Oversee and ensure the completion of the review, approval, and distribution process.
Customer Satisfaction
Maintain and monitor internal and external customer relations including project/progress meetings, site visit schedules and project related correspondence to ensure optimum customer satisfaction. Includes meeting minute preparation and review with mentoring Project Manager prior to release. Prepare and distribute accurate, timely project-related correspondence for mentoring Project Manager to review prior to release, as appropriate.
Lean/Continuous Improvement
Actively engages in company’s lean and continuous improvement efforts. To include involvement in standardized lean/continuous improvement programs and initiatives. Identify waste and look for solutions to resolve or eliminate the waste.

Job Specifications:
Education and Experience:
Minimum 1 year in the construction industry or equivalent education in a related field (college or vocational school courses)
Knowledge, Skills & Abilities:
Strong interpersonal skills
Elementary knowledge of job costing/budgeting
Basic knowledge of accounting principles
Ability to read and understand specifications and plans
Thorough knowledge of arithmetic and the decimal system
Knowledge of construction methods and local permit practices
Basic estimating capability for change order generation
“Common sense” construction practice knowledge
Ability to multi-task (multiple projects simultaneously)

Physical Requirements/Travel:
While performing the duties of this job, the employee frequently sits, regularly stands, regularly walks on uneven surfaces, regularly ascends, and descends stairs and/or ladders at project sites, occasionally lifts up to 35 pounds, occasionally stoops, kneels, crouches and/or crawls, frequently drives to project sites and meeting locations, frequent use of computer, monitor and keyboard.
No overnight travel is anticipated for this position. Some occasional local day travel may be necessary.
