PROJECT MANAGEMENT COORDINATOR - Newport Beach, CA (hybrid)
Job Summary:
The Project Coordinator serves as administrative support to the Capital Projects Team.
Essential Duties & Responsibilities:
- Prepares, maintains, and administers contract documents according to policies and regulations
- Verifies that all required and associated materials in contract packages are in place
- Requests and maintains contractor & consultant insurance certificates through Net Vendor
- Requests and maintains required lien releases for contracts and disseminates to necessary parties per contractual terms and conditions.
- Monitors and maintains preliminary lien notices in order to make they are properly cleared.
- Tracks and coordinates contract and change order administration
- Maintains invoice tracking logs for all projects
- Enters and maintains contracts in purchase order system
- Matches contracts/purchase orders to invoices for payment processing
- Organizes, maintains, and purges construction documents, as required
- Organizes and maintains project close-out documents
- Updates/maintains project contact lists, logs, and reports
- Provides general administrative support
- Completes other development-related tasks, as required
Education and Experience:
- Minimum of 2 years of related experience, preferably in third party multifamily property management or real estate and a bachelor’s degree from a four-year college or university, or equivalent combination of education and experience.
Other Qualifications:
- Excellent proficiency in operational/administrative software including Excel, Word, and Outlook.
- Knowledge and familiarity with MS Project and PowerPoint, a plus.
Salary range is $31.25/hour. We offer a competitive compensation package that includes a 401(K) match, rental incentive and renewal compensation, bonuses, and rental discounts depending on location. Regular full-time employees who work between 30-40 hours a week are eligible for medical, dental, vision, other voluntary benefits and vacation accrual. Sick time accrual is provided in accordance with law.
