Project Billing Specialist
Reports to: Accounting Manager
Position Summary:
Billing: This position is in the accounting department and works in conjunction with the sales team, operations managers, and the credit department to conduct timely and accurate billing for construction or major projects.
Project Management: This position uses a standardized method to accurately capture, record, and process finance information associated with projects.

Project Management: This position uses a standardized method to accurately capture, record, and process finance information associated with projects.
Essential Duties and Responsibilities:
Billing:
- Prepares AIA style progress invoices for customers, produces Navision system invoices and maintains project billing files.
- Process monthly rental invoicing and contract billings for sales team members.
- Advise Sales Representatives when billing is completed and process bills as needed.
- Coordinate with Jobsite Project Managers and Accounts Receivable to make any necessary adjustments to invoices, such as change orders and retention adjustments.
- Manage billing reconciliation and report on contract status.
- Investigate and resolve billing issues to ensure projects are billed and payment is collected within the appropriate timeframe.
- Perform other duties as assigned.
- Perform job cost analysis to ensure accurate reporting of completion progress.
- Reviews construction contracts for, discrepancies, billing instructions, and special conditions to ensure compliance with contracts.
- Ensure accurate information is recorded in monthly financials both in the expense account and in the subsidiary job ledger.
- Responsible to collect and provide appropriate documentation such as insurance certification, prevailing wage labor reports, and lien releases.
- Analyze retainage and unbilled retainage.
- Performs other duties as require.

Education and Experience Requirements:
- Five years of related job experience required
- Two-year business degree preferred.
- Experience in a construction environment.
- Proficient in Navision, Salesforce.com or Profit CRM software, Microsoft Office. If experience is limited, applicant will have the willingness to learn this software
Required Competencies/Skills:
- Working knowledge of general and/or construction accounting principles
- Previous experience with AIA documentation
- Knowledge of time and materials billing, progress billing, conditional waivers and lien release processing
- Excellent verbal, written and interpersonal communication skills
- Self-motivated with ability to multi-task, prioritize and work independently with moderate supervision
- General understanding of business practices, structures and philosophies
- Must be able to effectively work with strict deadlines
- Ability to work effectively on a team to enhance the growth of the company.
- Demonstrated experience in construction and project management.
- Good time management and organizational skills
- Proficiency in MS Office Suite, CRM programs, and other computer software.
