Merrick & Company is seeking a Project Administrator/Technical Assistant for our office located in Aiken, SC. Basic office hours are 8:00 am to 5:00 pm, Monday thru Friday. Only full-time candidates will be considered. Occasional overtime could be needed with short notice. This position may also require some minimal localized travel.
Typical pay range for this position is $23.50 - $28.50 per hour. Base pay offered may vary depending on job-related knowledge, skills, and experience.
WHAT YOU'LL DO:Provides specialized administrative support to the Merrick management team and technical staff. Responsibilities include document control, Word processing/preparation of documents, electronic filing, copying, preparation of special reports, preparation of invoices, expense reports, meeting organization and coordination for special events, and general office support.
The Project Administrator would ideally have experience in construction related support activities and is expected to be able to help resolve construction related administrative issues in a timely manner.
Scope/Key Responsibilities
- Responsible for maintaining an effective and efficient system for electronic and hardcopy project document management including secure records management, distribution, and retrieval in accordance with Merrick QA Procedures.
- Responsible for front desk/reception duties and greets visitors in a courteous manner.
- Responsible for typing and integrating accurate edits into engineering reports and specifications as well as quality checking for typographical and grammatical correctness.
- Provides support as requested to assure that the office is maintained in a professional appearance and assists with organization, functionality and preparedness of office equipment, copy areas, supplies and conference rooms.
- Assists with travel arrangements, expense reporting, and word processing.
- Undertakes research on companies and organizations for marketing purposes.
- Creates Excel databases and enters data.
- Contributes to project budget estimates and assures project administration duties are performed within budget.
- Answers telephones, ascertains nature of call and directs caller to appropriate staff. Takes a message or personally provides desired information.
- Performs other duties related to office automation requiring a skill in general office machines, software, and the internet/intranet.
- Provides administrative support including typing/word processing, mail preparation, copying, and distribution.
- Prepares a variety of correspondence, memorandums, briefings, and other reports required for day-to-day operation.
- Maintains project records, files, statistical data, action items, time and attendance records, and meeting minutes.
- Orders supplies and equipment as requested by management and technical staff.
- Makes phone calls to customers to provide project updates and schedule appointments for site visits conducted by the design teams. Creates and maintains phone log.
- Fills out and manages site visit schedule and coordinates best travel route for teams to use for site visits.
- Must have a minimum of two (2) – four (4) years of experience or an Associates Degree
- Must be proficient and capable to take courses in Microsoft Office applications, particularly the latest versions of Word, Excel, Outlook, PowerPoint, and Access
- Knowledge of Adobe required
- Ability to work in a highly productive, deadline driven working environment.
- Must provide examples of experience in multitasking and adherence to deadlines.
- Experience maintaining construction project records and files.
- Professionalism in speaking to groups, writing letters, and sending emails to employees and clients.
- Must have a valid driver's license, a good driving record, and be insurable under Merrick’s insurance carrier.
- Client projects for this position require U.S. citizenship.
