TowerPinkster, an architecture, engineering and interior design firm based in Michigan, Indiana, and Kentucky, is looking for a talented Project Administrative Assistant to support the Project Teams in our New Albany, Indiana office. This position is responsible for providing administrative support to assigned Project Teams/Project Manager/Project Lead and providing backup in the absence of the Office Administrator.

This is a full-time position Monday through Friday, with 8:30AM – 5PM office hours, currently, and located in New Albany, Indiana Office.

This position is responsible for providing administrative support to assigned Project Teams/Project Manager/Project Lead and providing backup in the absence of the Office Administrator.
POSITION RESPONSIBILITES EXPECTATIONS
- Assist in creating and formatting proposal letters and requests for letter proposals
- Assist in the setup layout, creating content and finalizing of facilities assessments reports
- Prepare and maintain project documents including scanning and electronic filing
- Update project schedules as directed
- Assist in the setup, revisions, and completion of project specifications
- Assist with project plan review application submission to state, plumbing, health department
- Utilize document templates to create project specific documents such as Punchlist, Field Observation Reports, Shop Drawing Review Forms and RFI responses
- Attend onsite Punch list walk-throughs and site visits during construction
- Schedule and/or attend project and/or team meetings as required, draft meeting minutes, follow-up and distribute
- Prepare AIA contract documents during Construction Administration phase
- Assist in coordination and tracking of submittals, shop drawings, pay applications, change orders, addenda and bulletins
- Update internal project budgets and timelines, labor assignments in Accounting software (Vantagepoint) as directed.
- Provide support to Office Administrator: Door access, incoming mail distribution, outgoing mail prep, arrange any lunch orders, and any other items as needed
- Other Duties as assigned

POSITION QUALIFICATIONS
- Two to four years professional experience in A/E or construction firm as Administrative Assistant and/or Project Administrative Assistant preferred
- Strong working knowledge (advanced level) of Microsoft Word and Excel
- Must be very organized and able to multitask
- Excellent oral and written communication skills
- Must exhibit a professional demeanor
- Ability to contribute effectively to a team environment
