Job Summary:
We are seeking a detail-oriented Project Management Assistant to support our team in coordinating various projects and handling general administrative tasks for our Columbus, Ohio location. The ideal candidate will be organized, proactive, and able to multitask effectively.
Responsibilities:
- Assist with project planning, tracking, and documentation.
- Schedule meetings and appointments, and maintain calendars.
- Prepare and distribute project-related materials.
- Coordinate travel arrangements and accommodations.
- Maintain project databases and files.
- Provide administrative support such as answering calls, managing emails, and ordering supplies.
- Assist in preparing reports, presentations, and correspondence.
- Work cooperatively with and assist professional/field staff to support daily needs.
- Handle routine inquiries, and office functions.
- Perform mail distribution and package shipment responsibilities.
- Assist with proposal, permits and report preparation.
- Communication with clients, contractors and agencies
- Perform accurate data entry of project-related data to Excel spreadsheets and templates, as directed.
- Manage and ensure project documentation accuracy, quality, integrity and compliance in accordance with defined management systems and procedures.
- Special projects and/or other administrative tasks as may reasonably be requested.
Qualifications:
- High school diploma or equivalent; Associate's degree preferred.
- Proven experience in an administrative or project support role.
- Proficiency in MS Office Suite and project management software.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Strong computer skills
- Professional, self-motivated, team player able to collaborate with multiple individuals.
- Strong interpersonal and written communication skills with the ability to contribute effectively as part of a team involving staff, clients, and outside agencies.
- Ability to solve problems, manage workload, and remain organized with limited supervision.
- Ability to work independently with attention to detail and focus on quality and customer service.
- Able to prioritize multiple projects
- Notary public or ability to obtain certification
