DIXON & ASSOCIATES, PC is a full-service engineering and construction management business working since 1990 on a variety of projects for Fortune 500 companies, private industry, real estate developers, condominium associations, and private residences throughout New Jersey, Pennsylvania, Metro NYC, and in other states.
The successful Full-TimeorPart-Time Project Administrative Assistant candidate will, daily, work in the fully computerized Manasquan office and report to the President in furtherance of project requirements (FT M-F: 8-5) or (PT M-F: mornings, 4 hrs minimum, start time no later than 8:45 am).
Currently project administration support is being provided by dedicated, full-time, experienced, professional Senior Project Assistant. Our employees are fully committed by their workloads; however, there is significantly more work to accomplish. Our existing and future contractual obligations require additional experienced, Project Administrative assistance for the President.
The work place is dynamic and fast paced! Project support requirements vary day to day, week to week, project to project. A day at the office is never slow, never boring! You will be involved in several projects simultaneously. You will interact with our President and Senior Project Assistant, as well as Clients and their administrative and professional staffs to acquire, track and organize project documentation in physical and electronic form. On a daily basis, you will be responsible for accurately maintaining and updating work calendars with, including but not limited to inspection dates, document review dates, and project deadlines throughout the duration of your projects. You will research known sources and the internet for project related technical literature and manufacturer's product documentation. You will assist the President in the preparation of correspondence, technical reports, project specifications, and other construction documents that include text, photos, tables, spreadsheets, and other reference documents.
We work for professional clientele who rely upon our professional work product. Our documentation is used by our Clients and Legal Counsel for construction dispute resolution including mediation, arbitration, litigation, and Court.
The office building and on site-parking are in a residential section of Manasquan, NJ.
Seeking candidates with a reasonable commute of no more than 20 miles to the office.
Required Qualifications & Skills:
Energetic, Motivated, and Positive Attitude.
Ability to work independently and with team members.
Excellent written and verbal communication skills.
Agility to move about the office to access project files, document binders, and file cabinets.
Physical strength to lift and carry boxed files up to 40 lbs.
Highly organized with the ability to multi-task.
Current proficiency is a MUST in office computer use, MS Outlook (email & calendar), Word, Excel, and Adobe where knowledge of OCR file conversion is a plus.
Keyboarding Speed 55 WPM (minimum).
