Title: IT Project Coordinator/Admin
Location: Newark, NJ
We are looking for a Project Coordinator/Admin to help with an IT Program. The ideal candidate is detail oriented with a knack for communication and collaboration. The Project Coordinator/Admin is a highly collaborative person, working closely with IT and Business stakeholders of the Program.
Responsibilities:
- New resource onboarding: schedule interviews, collect the details needed for setting up company ID and email, and coordinate shipping laptops.
- Schedule workshops, book conference rooms, order food for meetings.
- Work with the project team to support the coordination and execution of cross-departmental projects.
- Help support IT and Business teams to ensure all tasks are staying on track. This includes managing, completing to-do lists and supporting with outstanding details to meet deadlines.
- Collect status reports from Project Managers and prepare a consolidated status report.
- Multi-tasking and being detail-oriented is critical in managing multiple moving parts of the fast-paced project teams and processes.
- Responsible for all file management and ensuring that the team is uploading assets, dashboard information and critical files.
- Track vendor invoices and payments.
- Perform additional duties and ad-hoc projects as required.
- Creates, coordinates, and maintains project timelines and schedules.
- Responsible for creating and sharing meeting agendas, as well as the distribution of follow-up notes and action items.
- Assist in preparing project presentations.
- Assist with the travel arrangements for the project team.
Requirements:
- 3+ years of experience as a project coordinator/admin on IT projects.
- 5+ years of experience working in IT.
- Expert level experience of using Microsoft Excel and PowerPoint. Be able to create Pivot tables and graphs in Excel.
- Clear understanding of project management practices.
- Strong attention to detail and ability to manage multiple projects and deadlines.
- Ability to collaborate efficiently with cross-functional teams.
- Proven written and verbal communication skills.
- Must have strong organizational skills, be very detail-oriented, and mission-accomplish focused.
- Experience with ServiceNow and/or Power BI is a plus.
