Position Summary
Responsible for assisting project teams with processing subcontractor invoices for respective projects. Processes internal invoices for payment.
Key Responsibilities
- Processes subcontractor monthly pay applications. Ensures subcontractor has submitted project required documents, including sworn statement & conditional waivers. Validates that subcontractor is submitting the correct contract values, and only executed change orders. Routes invoices to project team for approval.
- Processes vendor invoices accurately and promptly. Routes invoices to approvers based on predetermined approvers. Invoice payments are processed by due date, as part of a weekly check run.
- Collects and tracks compliance documents, such as certified payroll and subcontractor waivers.
- Processes subcontractor payments when payments have been received. Understands Holland's Sworn Statement, and issues payments according to what was submitted to Owner. Confirms with project team that the payments can be released.
- Collects, monitors, and verifies required lien waivers from subcontractors and their suppliers for payments received. Waivers are generated and created based on project specific requirements.
- Processes weekly field payroll.
- Submits monthly and weekly union reports.
- Creates and distributes Holland Certified Payroll reports to Owners based on project specific requirements.
- Processes employee expense reimbursement. Generates checks and EFT payments weekly.
- Communicates with all subcontractors & suppliers. Responds to vendor inquiries.
- Deposits and records all cash receipts as Owner payments are received.
- Sets up new vendors in ERP system. Requests W-9 form and sets up vendor according to their 1099 reporting status.
- Maintains accounting records by storing all documents within electronic filing system.
Education and Experience
- Typically requires minimum of 2 years of experience in the construction industry and knowledge of construction management processes.
Physical Demands and Working Conditions
- Regularly required to communicate effectively.
- Sitting, standing, walking, climbing stairs; lifting up to 10 lbs, pulling and/or pushing on occasion.
