About the Job
Essential Duties:
- Work with the PM team in performing cost and revenue analyses for all projects
- Manage all accounting related functions for assigned projects.
- Manage invoices, payments, and compliance for assigned projects.
- Have an understanding of compliance requirements for assigned projects.
Key Tasks and Responsibilities:
- Assist Project Manager with initial project set-up in Viewpoint.
- Responsible for modifications of data based on changes or revisions to contracts.
- Reviews sub-consultant invoices, establishes and maintains sub-consultant purchase orders.
- Directs billers on invoice requirements, including preparation, format and distribution, and follows up on any delinquent. accounts receivable and/or unbilled costs through resolution.
- Active participant in project review meetings – provides monthly updates to WIPs for each project.
- Assists with project closeout duties.
- Reviews project charges, coordinates and compiles cost transfers as needed.
- Maintain fully executed owner contractor/purchase orders.
- Meets owner requirements such as billing deadlines, waiver, and certified payroll.
- Monitor status of pending change orders and invoices.
- Ensures timely invoicing in proper format.
- Monitoring receivables income and supporting project managers with collections.
- Track Project Budget.
- Works with Project Management in preparing quarterly project profit Projections.
- Providing project managers and clients with timely financial reports and budgets, as well as project forecasts.
- Preparing pre-billing reports for project managers to review.
- Updating contracts according to client requirements and reporting associated budget amendments.
- Prepare Labor reports – current run rates versus estimated.
- Cost Analysis and Reporting for the following:
- Job Set-Ups (and Cost Code and Budget Sheets when required).
- Re-budgeting of projects per job requirement.
- Pencil Requisitions.
- Underbilling Alalyses – perform investigative accounting on a cost code/SOV level to determine its contribution to over/underbilling.
- Change Orders – Requests updates from PMs regarding the state of each AWO.
- Quarterly Costs to Complete Analysis.
- Delay Claims.
- Ability to deal tactfully on human issues with colleagues.
- Ability to create and maintain cooperative team building relationships.
- Ability to meet deadlines and work under pressure.
- Ability to work independently and complete duties and projects with little direct supervision.
- Must be well organized, a good communicator and able to effectively prioritize tasks.
- Ability to multi task and work in a fast paced environment.
- Ability to learn new systems and procedures with ease.
- Ability to read and understand contracts and scopes of work.
- Honesty, integrity and a strong desire to succeed.
- Training in Accounting or Business via higher education is preferred. (ie: BA/BS in Accounting or Business)
- 2-5 years in job cost, cost accounting and/or construction accounting.
- Knowledge of Project Accounting Systems such as Procore, Vista, Tiberline, etc.
- Familiarity with Bluebeam, Adobe is preferred.
- Proficiency in Microsoft Excel, Word, and Outlook applications.
- Proficiency in Document Control processes.
