The Urban Land Institute (ULI) is a 501(c)(3) nonprofit research and education organization supported by its members. ULI district councils deliver the Institute’s mission at the local level by providing members with education, networking, and opportunities to give back to the community. With over 2,100 members across the Bay Area, ULI San Francisco (ULI SF) represents one of the Institute’s largest district councils and is the preeminent local organization focused on creating and sustaining communities through wise land use, development, and redevelopment decisions.
The closely knit and high-performing team works directly with our members, who include high-level business professionals, public officials, corporate executives, and senior members of the real estate and land use community, to help facilitate and move the needle on issues that are of the most importance to ULI SF.
As a part of the district council team, the Programs and Operations Associate serves as a liaison among ULI headquarters, district council staff, ULI San Francisco members, and ULI San Francisco sponsor firms. The Programs and Operations Associate is often the first point of contact for the organization, so it is imperative that they be courteous and professional. Strong candidates for this position will be highly organized, detail-oriented, obsessed with accuracy, effective multitaskers, and able to work independently in a fast-paced environment.
The ULI SF team is currently working in a hybrid environment with 1-3 days a week in-person at our San Francisco office. Attendance in person at our office and at events will be required. All ULI staff must be fully vaccinated against COVID-19.
The salary range for this position has been set at $56,320.00 - $58,410.00. Actual salaries will vary based on various factors including but not limited to experience, education, skills and other job-related factors. The range listed is just one component of ULI’s total compensation package for employees which includes a full and competitive benefits package.
SPECIFIC RESPONSIBILITIES
The Programs and Operations Associate is tasked with supporting the Executive Director and district council staff in operational and office management, nonprofit administrative support, events, meetings, committee support including the Executive Board, our Young Leaders Group, and UrbanPlan.
Nonprofit Administrative, Operations, and Communications
The Programs and Operations Associate serves as the first point of contact for ULI San Francisco and will work closely with our team, host office, and ULI HQ colleagues to ensure smooth office operations.
- Maintain and order office supplies as needed.
- Coordinate with remote ULI IT staff and IT contractors to troubleshoot and resolve IT issues.
- Support Executive Director with Executive Board and Management Committee meeting preparation as needed.
- Manage and respond to phone/email inquiries from main ULI San Francisco phone line and inbox.
- Support ULI SF sponsorship efforts, as needed, through creating invoices and tracking sponsorship payments.
- Support ULI SF budget and financial reporting as needed.
- Produce contracts for vendors and contractors.
- Support ULI SF marketing and communication efforts (website, social media, and email campaigns).
- Draft blog posts for ULI SF website.
Young Leaders Group (YLG) Committee
The Programs and Operations Associate will coordinate ULI SF’s Young Leaders Group (YLG), which is all ULI SF members under the age of 35 (which accounts for over 25 percent of ULI SF’s total membership). Responsibilities include:
- Coordinate YLG Steering Committee (and subcommittees), which hold meetings and execute a variety of events, programs, and initiatives throughout the year.
- Attending all committee meetings and events and handling logistics before, during, and after each event (note: some evening events required).
- Implementing Young Leaders professional development programs, such as the Young Leaders Mentorship program and Development 360.
Committee and UrbanPlan Support
ULI San Francisco has over 15 standing committees that direct the content and programming of the District Council. The Programs and Operations Associate will:
- Support the Executive Director with Executive Board and Management Committee meetings.
- Support the delivery and execution of ULI SF’s UrbanPlan program in high schools, universities, and in communities (through our UrbanPlan for Communities workshops).
- Support ULI SF staff with additional committees as needed.
Event + Fall Meeting Support
ULI San Francisco’s member-driven committees produce over 50 programs per year which are supported by ULI staff, including the Programs and Operations Associate.
- Provide registration support for district council events.
- Format and print on-site registration forms, badges, and other printed materials for events.
- Assist in event set-up, execution, and breakdown as needed.
- Assist with event venue and catering needs as needed.
- Create and send out post event surveys as needed.
- Support Local Product Council meetings, as needed.
- Support ad-hoc committee events (i.e. floating allocations) as needed.
- Support the planning and execution of ULI SF’s Fall Meeting in San Francisco in 2025, including tours, programs, receptions, and events.
QUALIFICATIONS:
Strong candidates for this position will be highly organized, detail-oriented, obsessed with accuracy, effective multitaskers, and able to work independently in a fast-paced environment. Specific qualifications include:
- Bachelors degree or equivalent experiences
- 0-2 years of related experience.
- Prior experience in program or event planning desired.
- Excellent professional oral and written communication and interpersonal skills.
- Friendly and welcoming demeanor and a collaborative attitude.
- Ability to work with business and public-sector executives.
- Self-motivated, demonstrating meticulous attention to both details and deadlines.
- Ability to prioritize and handle multiple responsibilities concurrently with responsible follow- through.
- Fluent/proficient computer skills and strong aptitude with applications like Microsoft Office and Google Drive are required. Design skills (Adobe Creative Suite) and website software (WordPress and basic HTML) a plus.
- Ability to attend ULI events (in the early morning or evening) throughout the region.
- Ability to lift 30 pounds is required.
- Demonstrated interest in land use and urban development preferred.
- Familiarity with Bay Area real estate and land use industry a plus.
