The School of Nursing has an outstanding opportunity for a Program Operations Specialist (0.8 FTE) to join their team.
The Program Operations Specialist supports the Palliative Care Training Center and the interprofessional Graduate Certificate in Palliative Care administered by the School of Nursing (SON) and the Continuum College (CC).
DUTIES AND RESPONSIBILITIES Key Responsibilities
+ Manage daily operations of the PCTC
+ Implement strategic initiatives for the program
+ Serve as the primary student advising contact for educational offerings for the PCTC.Program advising, course-related activities (20%):
+ Organize and manage quarterly three-day online workshops on Zoom.
+ Oversee and optimize the user experience of quarterly online Canvas courses.
+ Serve as a program advisor, enhancing the student experience across advising, admissions, registration, course administration, and program completion.Financial Oversight (20%):
+ Lead budget reconciliation and reporting processes between SON and CC, partnering with Directors to ensure accuracy and alignment.
+ Manage all aspects of invoicing and compensation for guest lecturers, program facilitators, and UW faculty FTE, ensuring precise coordination and timely execution.Strategic Leadership (10%):
+ Manage the timeline for strategic planning initiatives and independently drive activities to achieve strategic priorities, collaborating closely with Directors.
+ Take an active role in strategic visioning and planning sessions.Constituent engagement (10%):
+ Engage alumni network with regular communications including job postings, in-person gatherings, monthly programming, quarterly newsletters, and lectures/resources of interest.
+ Lead efforts to engage with regional healthcare organization constituents and facilitators, independently directing activities in collaboration with Directors.Marketing & Recruitment (20%):
+ Lead outreach activities at conferences 1-3 times per year (e.g., AAHPM, CAPC, WSHPCO) as an exhibitor.
+ Create or outsource design of marketing materials and tools. Oversee printing and dissemination of marketing materials through multiple channels (e.g., listservs, virtual/live conferences).
+ Implement the Center’s marketing and recruitment strategy in collaboration with the Directors, SON faculty, staff, and students.
+ Maintain website, monitor/optimize analytics and manage social media platforms.Administrative responsibilities (20%)
+ Take ownership of calendaring, schedule meetings, coordinate related activities, and oversee special events, collaborating closely with the Directors.
+ Maintain and update operating procedures, OneDrive files. MINIMUM REQUIREMENTS
+ Bachelor’s degree in health care, education, business, social sciences or related field AND 3 years prior experience as Program Operations Specialist or a similar position working independently with minimal supervision. _Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._ DESIRED QUALIFICATIONS
+ Work experience in an institution for higher learning.
+ Experience performing or supporting palliative care.
+ Experience developing marketing materials. CONDITITONS OF EMPLOYMENT
+ 80% FTE position working a hybrid schedule.
