Responsibilities
**General Purpose:**
The Program Manager for the Wilmot Cancer Institute is a valued role that reports to the Executive Director of Advancement and works closely with all other team members to enhance the effectiveness of all engagement and fundraising efforts. The Program Manager facilitates or assists with a wide variety of core activities, both internal and external, that are essential to the team’s success. As with all team members, the Program Manager works to build positive experiences for community members, prospects, donors, and Wilmot Cancer Institute advisory board members.
**Responsibilities:**
**Operations**
+ Works with WCI Advancement Directors to balance ledgers and oversee payment of invoices
+ Reconciles event accounts for internal and external reporting through the use of various reporting systems
+ Works closely with the Program Assistant to ensure accuracy and timeliness of all levels of acknowledgements and gift processing
+ Facilitates gift agreements for gift officers when appropriate
+ Creates and executes electronic and/or digital communications to donors and constituents, working in partnership with UR Advancement communications team
**Communications**
+ At minimum, conducts quarterly review of the WCI Advancement website pages; communicates regularly with WCI Marketing and PR team
+ Oversee quarterly e-news for external constituents (board members, donors, and prospects), working with Advancement Communications team.
+ Develop and update annually, at minimum, business plan for review with Executive Director, determining goals and metrics for self
**Major Gift Support**
+ Works with Advancement Strategic Initiatives team for data pulls, reports to be used in forecasting fundraising activities and goal setting
+ Creates high-level documents for dissemination to WCI key stakeholders, while understanding the value of the information and how it is applicable to each type of stakeholder
+ Assist in managing prospect movement by developing targeted reports for gift officers
+ Provides monthly monitoring of input from gift officers in OASIS, ensures reports are entered, develops plans to assist with communication to prospect
+ Prepares progress reports as required by the Executive Director
**Advisory Board Activity**
+ Coordinates schedule for board meetings and committee meetings for the year, works with Advancement Events team for logistics
+ Maintains schedule of ongoing work for board members, especially with nominating committee; provides support for Board’s prospect review activities.
+ Maintains current records on Board demographics, giving, committee assignments, and event participation
+ Initiates monthly meeting with Executive Director to review outstanding tasks and upcoming needs related to Board Management
Other duties as assigned
**Qualifications:**
+ Bachelor’s degree preferred
+ 2-3 years direct development experience,
+ or equivalent combination of education and experience required
+ A high level of energy and enthusiasm for the mission of the Wilmot Cancer Institute required
+ The ability to represent the Wilmot Cancer Institute in a polished and professional manner at all times required
+ A commitment to excellence and customer service required
+ A focus on team goals and a willingness to collaborate required
+ The ability to listen carefully to a donor’s interests and motivations, to understand the donor’s values, and to build trusting relationships required
