POSITION SUMMARY:
PROGRAM MANAGERThe Program Manager provides administrative leadership and daily operations management of the academic program(s) in their purview. In collaboration with the Department Chair, the Program Manager manages, coordinates and executes curricular operations and program activities. The Program Manager serves as a key liaison between academic and administrative departments and collaborates with program faculty to achieve program outcomes. Other responsibilities include assisting the Department Chair with staffing, faculty support, and student advising. This position works closely with their respective Department Chair, Dean of Undergraduate or Graduate Studies and other College departments, as needed. Duties and responsibilities may shift depending on the needs of the program and certain times of the academic year. The Program Manager for the Transportation Design Department works closely with the Department Model Coordinator who both report directly to the Transportation Design Department Chair.
DUTIES AND RESPONSIBILITIES:
Administration
- Create, execute and manage systems and processes, to ensure administrative adherence to College policies and standards;
- Create and provide monthly reports, surveys and other information as requested by College stakeholders;
- Coordinate and manage course scheduling and room assignments;
- Manage and maintain all administrative and student records pertaining to the program(s);
- Assist Chair(s) with coordinating and managing sponsored and special projects;
- Review, edit and archive course syllabi (as applicable);
- Manage and coordinate the annual review of all students in the Program(s) (as applicable);
- Coordinate and manage program(s) and course changes;
- Assist Chair(s) with research and development of program(s) and program(s) curriculum, benchmarking competitive programs, competitions, grants and writing the relevant summaries;
Operations
- Manage daily operations of the Program(s) and its inventories and facilities;
- Assist Chair(s) with vision for Master Plan and space planning;
- Manage Department Chair(s) calendar(s);
- Coordinate and promote student mentorship with faculty;
- Communicate and liaise with the department Chair(s), faculty, students and administration;
- Assist Chair(s) with recruitment and retention of faculty and students;
- Assign and delegate duties as authorized and represent Chair(s) in their absence.
Budget
- Manage the Program(s) budget and resources;
- Assist Chair(s) with capital and operational planning;
Event & Program Management
- Coordinate, manage and execute departmental programming, exhibitions, student reviews/juries/adversary sessions, student meetings and orientations, and other program- related activities;
- Assist Chair with the maintenance of the department digital visual archive;
- Assist in the coordination and inventory management of all student or faculty artwork submissions for exhibitions.
- Coordinate travel arrangements and development for approved faculty, students, visiting artists and other VIP guests;
Advising & Mentoring
- Assist the Chair(s) with student advisement;
- Draft advising documents for department, Academic Advising & Registration, Admissions, and prospective students and their parents (as applicable);
Marketing
- Assist the Chair(s) with social media management (as applicable);
- Manage learning management system (LMS) administration;
- Coordinate the maintenance of the department digital visual archive (as applicable);
- Assist Chair(s) with alumni relations;
- Assist Chair(s) with program marketing efforts (as applicable);
Personnel Management
- In collaboration with the Model Coordinator, recruit, train, and manage work study students;
- Draft job descriptions for program(s) vacancies (as applicable);
- Assist Chair(s) with management of full-time and adjunct faculty and technicians, as authorized;
- Assist Chair(s) with hiring of adjunct faculty and coordinate new personnel documentation;
- Alumni relations;
Other projects and duties as assigned.
QUALIFICATIONS:
These are the qualifications that are necessary for someone to be considered for the position. Qualifications include:- Bachelor's degree preferred or related experience;
- Excellent organizational and outstanding interpersonal skills;
- Excellent writing ability;
- Excellent computer skills (Microsoft Office and preferred expertise in image management software including Adobe Photoshop);
- The maturity to manage confidential student and faculty matters;
- High energy and motivation to be a self-starter, with the ability to multi-task, manage multiple projects and is capable of working in a fast-paced environment, with changing priorities;
- A willingness to work with a highly diverse team of talented and creative people;
- An interest in design and the arts.
WORKING CONDITIONS:
This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.PHYSICAL DEMANDS:

Work schedule: Full Time, 10-2 month position; Full-time for 10 months during semesters and part-time for two months during the summer
Work Hours: 8:30 - 4:30 with an hour lunch
