Iron Eagle specializes in industrial services, focusing on industrial cleaning, emergency spill response, and waste management. We are expanding our operations and seeking a Program Coordinator to join our team in Forest Lake, MN!
OVERVIEW
The Program Coordinator helps plan & coordinate multiple related projects ensuring they align with organizational goals and strategies. They coordinate resources, timelines, and budgets across various initiatives while managing stakeholder relationships and mitigating risks.
DAY-TO-DAY RESPONSIBILITIES
The Program Coordinator provides essential administrative and operational support to ensure smooth program execution. They serve as a key organizational force, working closely with Sales and other team members to maintain project momentum. Key responsibilities include;
- Accompany Sales on site walks and develop & prepare project scopes of work and cost proposals. Project Management begins by jointly working with Sales to estimate scope and job costs for customer delivery.
- Develop and prepare project scopes of work and cost proposals.
- Lead the planning and closing of projects, adhering to project management best practices and methodologies while developing comprehensive project plans, schedules, budgets, and effectively communicate project goals, timelines, and milestones to stakeholders.
- Work with Vendors to gain cost estimates for Material, Equipment and Labor to assist in creating our customers projects costs.
- Completing electronic job packages using client information to provide clear instruction to Operations for successful project execution.
- Collect and organize field data from Operations to be used to produce rough draft invoicing and upload into the company ShareFile.
- Monitor project progress, identify potential risks and issues, and implement mitigation strategies to keep projects on track and within scope.
- Manage all administrative, budgetary, and assist with technical aspects of assigned projects and tasks, and maintain profitability.
- Request vendor invoices from Iron Eagle Administration to be used to produce rough draft invoicing.
- You will spend about 75% in office, and about 25% in the field.
***This role is ideal for someone who is very detailed-oriented, administratively organized, fiscally responsible and enjoys financial math. It is also ideal for someone with a background or general knowledge of the Construction industry as it relates to our clientele base.
QUALIFICATIONS
- Must have at least 3 years experience in a similar role
- Similar industry experience a huge plus (Industrial Services, Environmental & Emergency Response, Oil & Gas, Construction, Chemicals, Railroad, etc.)
- Must be well-versed in managing multiple projects simultaneously - including client communication, timeline and fiscal responsibilities within project scope
- Must be DETAIL ORIENTED, administratively organized, and have moderate computer skills within 365 Suite
- Must have a valid driver's license
- MUST have flexibility to travel to project sites as needed and adapt to changing project requirements and priorities
- Must commit to occasional travel (client site/visits/meetings or events) during the busy season
- A background in progressive consulting or related experience highly desired
