The Department of Restorative Dentistry at the School of Dentistry is the largest teaching department encompassing 60% of the pre-doctoral curriculum. The Department strives for teaching excellence in the areas of Dental Material Sciences, Operative Dentistry, Occlusion, Dental Anatomy, Implant Dentistry, and removable and fixed Prosthodontics. The Department also has an internationally recognized Graduate Prosthodontics Program offering an MSD and certificate in Prosthodontics. **The Department of Dentistry has an outstanding opportunity for a Program Coordinator (NE S SEIU 925 Non Supv).**
The Program Coordinator will report to the Department Administrator and will perform a variety of moderately complex and varied support functions for the pre-doctoral dental curriculum. These functions include creating and maintaining Canvas websites and providing general course support to the course directors. The Program Coordinator will also provide administrative support for the Department including back-up roles such as Workday payroll coordinator and course support staff.
**DUTIES AND RESPONSIBILITIES** Pre-doctoral Dental Curriculum Support
General Course Support:
+ Word process and proofread forms, quizzes, mid-terms, and exams.
+ Assist course director with designing and creating course forms.
+ Assist course directors with scheduling meetings, both physical and virtual (Zoom).
+ Perform administrative support for assigned courses: create student seminar and presentation schedules, confirm faculty availability for seminar dates, communicate exam, etc.
+ Assist course directors in preparing course syllabus and curriculum mapping information via a web-based curriculum management software, e-curriculum.
+ Coordinate exam proctoring over Zoom and schedule rooms for students who require testing accommodations.
+ Proctor examinations in-person, in the event of course director absences.
+ Reserve additional classroom space for course breakouts and guest lectures, as needed.
+ Assist course directors in preparing course syllabus and curriculum mapping information via a web-based curriculum management software, e-curriculum
+ Educate faculty members (including affiliate faculty) on utilizing tools and/or completing specific processes related to Instruction such as: utilizing Canvas on tablets, recording/uploading videos using Panopto and leveraging other UW-IT supported tools for instruction.
+ Monitor compliance with required FERPA training for course peer mentors and follow up as needed.
+ Extract clinical data from School of Dentistry Tableau site to assist with student grading.
+ Track student assignment completion; notify course director and students of missing assignments.
+ Track incomplete grades, which entails submitting a Grade Exception Report (GRE), following-up with make-up assignments/exam and submitting final grade or grade change.
+ Track other course metrics as needed by the course director such as progression within clinical requirements, graduation requirements, exam averages, etc.
+ Assist course director with final grade calculation.
+ Post and submit course grades on Grade Page
+ Assist with student inquiries with course directors and other staff.
+ Maintain filing system.
+ Faculty Clinical Assignment Schedule: Assist Department Chair to draft quarterly faculty clinical assignment schedule; Collect, organize, and coordinate information from multiple resources to draft schedule; Maintain and update clinical assignment schedule as needed; Maintain a record of faculty leave requests and track usage.Course Support with Canvas website
+ Maintain Canvas website for 5-6 courses per quarter.
+ Quarterly updates of course materials on Canvas pages including adjusting course homepage, posting lecture materials and student seminar assignments; update course syllabi, due dates, grading rubrics, course topics and course instructors.
+ Manually enter scores from student work graded by Faculty members such as quizzes, self-assessments, graded exercises, and exams onto Canvas LMS using SpeedGrader if applicable.
+ Create Canvas site for new course or a sub course site as needed.
+ Disseminate information to students via Canvas and/or email.
+ Liaise with SoD IT in keeping Canvas sites up to date in accordance with SoD best practices.
+ Liaise with SoD Educational Technology to produce online examinations in ExamSoft.Administrative Support:
+ Take meeting notes and write up meeting summaries
+ Answer phone and office e-mail
+ Checking for and distributing mail and prepare UPS air bills
+ Assist faculty with copying and printing
+ Make room reservations
+ Troubleshooting of and assisting faculty with office equipment and procedures such as copier/scanner, printers, fax machine, express post services
+ Maintain departmental devices (laptops, tablets, etc.) such that they are charged, ready for use, and able to receive updates from SoD IT.
+ Assist students and visitors with questions about general Restorative policies and procedures.
+ Maintain ProCard Log and electronic/paper files of ProCard transactions.Back-up Course Coordinator
+ Provide support for Restorative curriculum and Course Directors as needed.Back-up Payroll Coordinator
+ Enter session tracked for volunteer faculty on Excel spreadsheet for 24 pre-clinical courses and 3 clinical courses
+ On a monthly basis, prepare travel expense report in Workday to pay affiliate faculty travel allowance for their volunteer sessions. Determine appropriate costing allocation and associated worktags. Maintain affiliate faculty travel allowance log and files (electronic).Perform related tasks as assigned. **MINIMUM REQUIREMENTS**
+ High school graduation or equivalent AND two years of experience using a web-based management systemOR
+ equivalent education/experience.
