About the Position
Dexis has been contracted by the USAID Bureau for Conflict Prevention and Stabilization (CPS) to provide institutional staffing support. As part of this contract, the CPS/Center for Conflict and Violence Prevention (CPS/CVP) requires a Program Assistant to facilitate CVP operations. As a member of the Program and Budget Operations Division, the Program Assistant will interact with all CVP staff, other staff in USAID, and with key interlocutors outside of USAID. They will primarily be responsible for providing a wide range of administrative and program support functions for the entire CVP office. The full-time position is located in the Washington, D.C. area and is required to be in office at least three (3) days a week, subject to change if requirements shift. This position requires a candidate to obtain and keep a SECRET clearance, and the start date is immediate.
Responsibilities
- Engage in a number of tasks that support administration of activities, including but not limited to: time and attendance, travel and leave calendars, photocopying, filing, administrative requests log, telephone and emergency contact lists, and staffing matrices.
- Utilize and master USAID systems, such as E2, GovTA, Google Workspace, USAID/University, etc, and assist CVP staff with questions and issues.
- Manage CVP's process of receiving, allocating, and responding to official requests for input, information, and feedback from CVP on a range of internal USAID communications products including briefers, taskers, external talking points.
- Support calendar and meeting management (facilitation, notes, invitation lists, room reservations, technology, escorting guests) for CVP wide events.
- Ensure that supplies are well stocked, equipment is maintained, and shared CVP files are updated and accessible. Take initiative in reviewing, evaluating and improving office administrative systems.
- Manage and keep CVPs Organizational Chart updated as staff arrive, depart or change responsibilities.
- Manage internal email accounts, providing access and creating new accounts when necessary.
- Collaborate with colleagues to support the on-boarding of new CVP staff (arranging courtesy calls, updating briefing materials, providing an overview of USAID systems and CVP processes etc.)
- Assist in the preparation of communications presentations and materials, responding to inquiries, and backstopping the logistics for events.
- Become familiar with CVP programs and services to strengthen understanding of conflict and violence prevention programming.
- Other duties as assigned.
Qualifications
- Bachelor's degree from an accredited college or university (no work previous work experience required with a BA degree) or a High School Diploma and six (6) years' work experience.
- Strong written and verbal communication and presentation skills.
- Demonstrated experience working in a fast-paced office setting.
- Experience working in project management, finance, or office administration.
- Demonstrated proficiency with Google Workspace and database management.
- Ability to obtain and maintain a SECRET clearance (US citizenship required)
