Job Title: Program Assistant
Job Summary:
CASES is currently seeking a Program Assistant for our Pretrial Services Department. The Program Assistant is an integral staff member providing administrative, fiscal and billing support. The Program Assistant ensures the team's smooth and effective functioning by working closely with the Borough Director and additional program staff to ensure the smooth and efficient functioning of program activities. We are looking for someone who is committed to making a positive impact on the lives of individuals involved in the criminal justice system. The ideal Program Assistant will have excellent organizational skills, effective communication abilities, and the ability to prioritize tasks effectively.
CASES’ Supervised Release Program (SRP) annually diverts 5,500 people otherwise facing pretrial detention at Rikers Island to community-based supervision and support services. Program participants include youth and young adults, people with substance use disorders and mental illnesses, and individuals who are homeless. SRP participants have not been found guilty of a crime and are not mandated to engage in treatment or other services. This requires staff to tactfully deliver approaches to help participants tap into their intrinsic motivation to leverage their strengths and skills for meaningful life improvements while fulfilling all court requirements.
Salary: The salary for the Program Assistant role is $46,350 per year.
Shift Hours: The Program Assistant is full-time working Monday through Friday from 9:00 am to 5:00 pm.

What you will be doing:
- Monthly Order and delegation of phones including maintaining relationship with phone vendor.
- Receive and screen telephone calls.
- Respond to program inquiries via phone, email and mail.
- Provide triage support and direct assistance to program participants, as needed.
- Assist with the scheduled system of appointment reminders, to help ensure participants receive timely notification of upcoming supervision contacts and court appearances
- Perform data entry for enrolling participants in Supervised Release.
- Enter legal and demographic information accurately into the database.
- Enter participant data into the database including pretrial supervision track, compliance with supervision appointments, re-arrest information, and case outcomes
- Complete and prepare for submission compliance documentation needed for the District Attorney’s Alternative Sentencing Office, judges, and the Criminal and Supreme Court Compliance and All-Purpose Parts.
- Generate demographic reports and retrieve program data for reporting purposes.
- Conduct database quality assurance audits.
- Generate program data needed for monthly billing reports and ensure its accuracy.
- Act as a program petty cash custodian and manage petty cash accounts.
- Conduct re-arrest checks using the CRIMS system and provide quarterly data to Strategic Planning and Analysis unit.
- Provide specific administrative and program support to other members of PACC supervisory staff as needed, including scheduling meetings, assisting in set-up and preparation for special events, literature search, photocopying, and compiling materials.
- Provide culturally competent services in accordance with CASES policies.
- Complete any other duties as required by supervisory staff.

- Associate degree or High School Diploma/HSE with 2-3 years' experience
- Excellent organizational skills and attention to detail
- Excellent verbal and written communication skills

- Strong interpersonal skills
- Highly proficient in word processing and spreadsheet applications (MS Word, Excel), experience with PowerPoint;
- Must be a self-starter and able to work independently
