What You Will Do
The Chemistry & Waste Facilities Division (CWF) is looking for an experienced, highly motivated Professional Staff assistant to support the division office. As a Professional Staff Assistant, you will be required to provide professional level administrative support to and interact daily with the Division Leader, Deputy Division Leader, Staff Operations Manager as well as all levels of internal and external Laboratory customers. You will be expected to maintain a professional office atmosphere that fosters a mutually respectful and inclusive work environment free from discrimination and harassment. Under established supervision, you will assume responsibility for completing all assigned tasks while demonstrating a high level of accuracy, attention to detail, initiative, versatility, tact, and confidentiality in all matters. Duties may include but are not necessarily limited to conducting research, assembling data for assigned projects; composing a variety of reports and/or presentations; coordinating logistics, scheduling, and facilitation of meetings and/or conferences; handling sensitive and/or classified information. You must understand and adhere to all Laboratory and regulatory policies and procedures.
Excellent oral and written communication and customer service skills are a necessity for this role. Excellent knowledge of and experience with standardized software packages is a must as is the ability to organize, prioritize and complete multiple tasks under strict deadlines.

Administrative Support
Demonstrated ability to organize, prioritize, and take initiative and ownership of multiple and conflicting complex issues in a manner that fosters institutional values and customer satisfaction. Demonstrated experience in specialized functions, such as webpage development and management, HR processes (hiring, on-boarding, non-lab actions, etc.), executing high-level procurements, property management, space management, high-profile meeting scheduling/logistics, and monitoring training expiration. Experience in domestic and foreign travel arrangements. Ability to coordinate high-level visits and events. Experience in coordinating high-level meetings, preparing agenda and minutes.
Organization and Time Management
Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel related information. Demonstrated record of dependability, availability, attendance, and punctuality.
Business Systems
Demonstrated knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, and Word) and with Oracle business systems, Microsoft Teams, SharePoint, Ariba, etc. Ability to independently interpret data and information. Experience working with Visitor and Guest agreements and subcontracts.
Communication
Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.
DOE Q Clearance
Ability to obtain and maintain a DOE Q Clearance.
Education
Position requires a Bachelor's Degree and 2 years related experience; or, an equivalent combination of education and experience directly related to the occupation. Undergraduate coursework may be expected at this level.

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
