Ultimate Staffing is excited to announce an opportunity for a Front Desk Administrator in Rockville! This is a full-time, fully in-office position with the potential for temp-to-hire or direct hire. Key Responsibilities:
Client Engagement:
- Serve as the first point of contact, welcoming clients, visitors, and staff, ensuring they are promptly directed to the appropriate team members.
- Answer and route all incoming calls efficiently, providing professional and courteous service.
- Oversee the reception area, maintaining its cleanliness and professional appearance.
Administrative Support:
- Offer high-level administrative support to senior management, including managing calendars, coordinating meetings, and arranging travel when necessary.
- Assist with various tasks, such as data entry, document preparation, research, and event planning.
General Office Duties:
- Perform clerical tasks, including filing, scanning, copying, word processing, and data entry with accuracy and attention to detail.
- Manage mail handling, both incoming and outgoing, as well as correspondence distribution and courier arrangements.
- Maintain office supplies by tracking inventory and placing orders proactively.
Special Projects:
- Participate in and contribute to office-wide projects, bringing forward ideas and ensuring deadlines are met.
- Help organize client meetings, staff events, and other functions to promote team cohesion.
Qualifications and Skills:
Communication:
- Possess strong verbal communication skills, with a polished and professional phone presence.
- Excellent interpersonal abilities, able to establish rapport with clients and colleagues alike.
Organization:
- Demonstrated attention to detail and excellent organizational skills, capable of juggling multiple tasks in a fast-paced setting.
- Ability to prioritize work effectively and meet deadlines while maintaining quality.
Technical Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Advanced typing skills (70+ WPM) and efficiency with a 10-digit numeric keypad.

- Able to thrive in a dynamic, fast-paced environment with a calm, solution-focused attitude.
- Strong work ethic, reliability, professionalism, and a high level of discretion when handling confidential information.
