Position Summary:
The Production/Operations Assistant supports the Foster Lake & Pond Management operations team in the planning, coordination, and execution of stormwater management projects. This role involves assisting in project scheduling, communication with clients, data entry and proposal preparation, and ensuring compliance with safety and environmental regulations. The ideal candidate will be detail-oriented, highly organized, and capable of multitasking in a fast-paced environment.
Required Skills
Qualifications:
- Education:High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Environmental Science, or a related field is preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or operations support role, preferably within the construction or environmental services industry.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and collaboratively within a team.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
Working Conditions:
- This position may require occasional travel to project sites.
- Ability to work in an office environment
Physical Requirements:
- Ability to lift and carry up to 25 pounds.
- Capability to perform site visits which may involve walking, standing, and navigating uneven terrain.

Key Responsibilities:
1. Project Coordination:
- Assist in scheduling and coordinating stormwater project activities.
- Support the Project & Service Managers in tracking project progress and timelines.
- Communicate with service teams to ensure clarity on project deliverables and deadlines.
- Communicate with clients and vendors with direction from Project & Service Managers.
2. Resource Management:
- Assist in creating Purchase Orders and Work Orders in CRM software
- Coordinate the procurement of materials and supplies needed for projects.
- Assist in maintaining equipment logs and scheduling maintenance.
- Assist with Administrative tasks within the organization.
3. Documentation and Reporting:
- Prepare and maintain project documentation, including schedules, work orders, and reports.
- Assist in compiling and analyzing project data for reporting purposes.
- Ensure all project documentation is up-to-date and accurately filed.
4. Compliance and Safety:
- Support the implementation of safety protocols and ensure compliance with environmental regulations.
- Assist in conducting safety inspections and audits.
- Maintain records of safety training and certifications for team members.
5. Communication and Support:
-Serve as a point of contact for internal and external stakeholders regarding project status and inquiries.
-Assist in preparing and distributing internal communications and updates.
-Provide administrative support to the Branch Manager and project teams as needed.
-Check and respond to Outlook emails daily on working days
-Learn how to use our human resource software
-Check the company calendar daily on workdays and update when necessary
-Respond to company phone calls and text messages during work hours
-Complete company self-check ins and other requested human resource items by sated deadline
