Basic Function and Scope of Responsibilities: A Pre-Construction Assistant for Absolute Group is responsible for assisting the estimating and project management teams on all aspects of Pre-Construction. This includes searching and managing incoming bid requests and updating our active bid list as well as ordering of subcontractor and material vendor quotations on all projects. Also includes ordering of bid bonds for all prime projects and following up on previous bids sent out for bid results. Assistant will download addendums and ensure we are on the plan holders lists as well as attain copies of plan holders list for each project. Assistant may be required to deliver bids at bid openings.
Principal Responsibilities: Organize bid list and help facilitate weekly bid meetings. Filling out Prequalification forms and submitting. Ordering of Bid Bonds. Requesting Sub/Material Vendor quotes. Searching for Projects and receive Request for Quotes (RFQ) and getting on plan holders list. Downloading plans and addendums. Setting up of projects in Takeoff and Bidding Software. Following up with clients on pending bids for results. Assist with filling out bids and taking bids to bid openings. Assist with Contract Administration to include Bonds and Insurance. Requirements: High School diploma required. Any previous Estimating or Administrative assistant experience is preferred. Valid Driver’s License and clear driving record Proficiency with Bid to Win (B2W) Software, Construct Connect Takeoff Software, Agtek Software, and Microsoft Office Suite experience is preferred, but not required.
Performance Requirements: Knowledge: Excellent organizational skills and attention to detail. Strong analytical and problem-solving skills. Proficient with Microsoft Office Suite or related software. Collaboration with internal estimating and project management team along with external customers and designers. Ability to prioritize and reprioritize tasks in an ever-changing schedule. Working Conditions: Office Setting Physical surroundings: Office Setting Adverse working environment Work may be stressful due to continual interaction with others, and nature of the construction environment. Physical Effort:Must possess the physical and mental abilities to perform the tasks normally associated with this role including prolonged sitting, bending, standing, stooping and reaching. Lifting up to 15 pounds at times. Local Travel: Occasional, mostly within the central Iowa region only Domestic/International Travel: None Extensive Hours:40 hours per week plus limited overtime on occasion due to bidding workload
