Summary of Position:
Reporting directly to the VP of DIT Strategy and Governance, the Portfolio Operations Coordinator is pivotal in managing the operational aspects of the IT portfolio of operations, projects and applications. This role focuses on organizing financial and operational data, tracking financials, managing vendor performance, and enhancing operational efficiency. The Coordinator is responsible for ensuring that the DIT Leadership Team has access to coherent and actionable information for strategic decision-making.
The Portfolio Operations Coordinator is key to the seamless operation and strategic management of the IT department, ensuring all activities are conducted efficiently and in alignment with the organization's broader objectives.
Job Responsibilities:
Data Organization and Reporting:
- Compile and organize financial and operational data in a coherent format for the DIT Leadership Team, facilitating informed decision-making.
Financial Tracking:
- Monitor invoicing processes to ensure accurate expense capture and allocation to appropriate cost centers.
- Perform financial analysis to compare with budget.
- Facilitate budgeting and forecast processes.
- Provide detailed information based on invoices and contractual terms to optimize spend.
Vendor Performance:
- Serve as the primary contact in IT for vendor contract notices, renewals and license optimization.
- Collect and organize vendor agreements and purchases, monitoring compliance and performance.
- Facilitate quarterly business reviews (QBRs) with vendors to ensure proactive vendor management and optimal contract terms.
Operational Efficiency:
- Coordinate regular Portfolio and Operational reviews.
- Collect materials from various stakeholders, collate them into cohesive deliverables, and track action items to improve operational processes within the IT department, enhancing efficiency and effectiveness.
Portfolio Performance:
- Collect and organize project portfolio data, ensuring accurate and timely reporting on project statuses, milestones, and resource allocation, contributing to effective portfolio management.
Education, Experience & Training/Skills:
- Bachelor’s degree in Business Administration, IT, Finance, or a related field is preferred
- Minimum of 3-5 years of experience in IT operations, portfolio management, or a closely related field.
- Strong capability in data organization and financial tracking.
- Experience in managing and assessing vendor performance and contracts.
- Proficiency in coordinating and preparing for operational reviews.
- Excellent communication and organizational skills.
- Ability to work effectively with cross-functional teams and manage multiple priorities.
