Job Description

The Insurance Specialist, reporting to the Office Manager, is responsible for clerical and support tasks in the office and provides assistance in the overall operation of the office. Performs diverse secretarial activities, including reception, heavy phone contact, insurance issues, filing and clerical duties, much of which is confidential in nature. Provides for total customer satisfaction; may engage in frequent contact with staff, visitors and vendors.

1. Patient and Staff Safety:

Recognizes the importance of patient/staff safety precautions as it relates to specific department and area of responsibility.
Consistently utilizes precautions and follows appropriate procedures to enhance patient/staff safety in daily operations.
Identifies and reports any potentially dangerous situations to manager which could cause medical error and / or patient or staff harm.
Immediately takes action, where appropriate, to minimize the risk of injury. Where appropriate to staff member’s responsibilities, reports errors, when these occur, to supervisor and on an Occurrence Report. Participates, when appropriate, in Root Cause Analyses and/or other efforts to reduce risk of medical error and / or patient or staff harm.

2. Performance Improvement:

Participates in performance / customer service improvement; actively assists in improving performance based on results obtained from customer satisfaction / PI activities.
Where appropriate, participates in Performance Improvement activities, including team membership.

3. Reception Responsibilities:

Greets patients, visitors and hospital personnel in a friendly and helpful manner.
Responds to inquiries for information; articulates / communicates information in a manner that patients, visitors and personnel can understand, while providing for optimal customer service.
Addresses patient, staff and visitor concerns, ensuring that `needs and concerns are addressed appropriately.

4. Clerical Responsibilities:

Receives, places, transfers phone calls.
Accurately records, delivers phone messages.
Responds to incoming calls in accordance with established customer service standards, departmental policies and procedures, providing for optimal customer service.
Prepares correspondence as directed.
Sorts, distributes mail and / or faxes.
Maintains files; performs departmental filing in an accurate and timely manner.

5. Department-Specific Duties:

Registers patients upon initial department visit.
Updates patient demographics.
Verifies insurance prior to initial evaluation by Webb MD and specific carrier.
Codes patients’ accounts with ICD9/10 classifications.
Posts charges and makes ongoing adjustments as assigned.

6. Office Supplies and Equipment:

Informs Office Manager of supply needs
Contacts appropriate vendor(s) for equipment repair and / or maintenance, as directed

7. Quality Assurance:

Maintains personal professional competency through in-service and meeting attendance.
Maintains a safe, orderly working environment; maintains compliance with OSHA regulations.
Ensures that HIPAA regulations, Joint Commission standards and corporate compliance policies are adhered to.
Adheres to hospital and department mission statements, policies and procedures.
Participates in service-wide Performance Improvement and Patient Satisfaction Programs.

8. Continuing Education:

Attends all hospital or departmental in-services.
Completes annual HSEP and health assessment as required by Joint Commission.
Attends appropriate seminars and conferences as necessary.

9. Performs other duties as assigned and requested.

Qualifications

Education/Training:

High school diploma or GED required; Associates degree
preferred.
Excellent verbal communication skills, good
organizational skills and the ability to plan and meet deadlines.
Experience with Data Processing required.
Familiar with MS Office Systems (word/Excel)
preferred.
Ability to read, write and communicate in English
required.
Knowledge of Medicare, Medicaid,
commercial, HMO and other third-party payor systems preferred.

Experience

Two to Three (2-3) years clerical
experience in a physician’s office, Physical Medicine office or similar health
care setting preferred.
