Job Summary
We are seeking an experienced Officer Manager who can manage office duties for our Denver, CO a recycling plant. The Office Manager supports the General Manager by maintaining the office system, coordinating, and supporting the activities of the company and supervising staff. This position is onsite at our recycling plant in Denver, CO. Travel outside of the Denver area is minimal.
Responsibilities
- Oversees general office administration and provides support in a variety of areas and functions.
- Maintains and assists with input information and ensures accuracy with supplier and customer shipments throughout each stage of the process.
- Maintains supplier, customer and booking information in system and makes changes as necessary.
- Generates supplier/customer invoices, processes payments and follows up with collections. May handle accounts payable and customer invoicing. Assists with the billing for projects, customer changes and requests, scheduling and other duties.
- Responsible for monthly financial review with General Manager.
- Responsible for a variety of HR duties such as new staff orientation and onboarding. Trains new office staff and provides support to less experienced office staff members. May track vacations, timesheets, and payroll.
- Coordinates all general administrative activities as necessary (e.g. scale operation, answering phones, etc.).
- Assists General Manager, Account Representatives and other staff with supplier/customer information, subcontractors, safety and vendor information, miscellaneous paperwork and financial reporting.
- Performs other office administrative duties, including but not limited to: ordering office supplies and other supplies/services. Handles site maintenance issues (e.g. pest control, etc.) and office equipment.
- Acts as back-up for other office jobs such as the scale operation.
- Assist with fleet operations such as dispatching drivers, including DOT information input and maintaining fuel cards. Ensure accurate driver information and recordkeeping.
- May supervise, train and provide support for other office staff.
- Performs other duties and responsibilities as requested or required.
- Must be involved in the company safety program and overall safety culture.
Competencies
- Ability to work in a complex and constantly changing environment
- Knowledge of grades, pricing and logistics in the recycling industry including paper, plastics, and metals
- Exceptional communication and organizational skills
- Ability to work aggressively and competitively in the marketplace while still working as a valuable part of a regional and national team
Education / Experience
- Associate's degree preferred.
- Minimum of 5 years of office management or related experience
- Two years of accounting, bookkeeping, and/or financial experience preferred
