Pharmacy Operation Administrative Coordinator - Express Scripts - Cigna

JOB SUMMARY :

The Operations Representative is primarily responsible for delivering value by providing support to our operations teams and Supervisors. This person will be working side by side with internal customers, leading projects that will support our production goals, and will be an advocate for the production floor employees. They will work with limited supervision on projects for the supervisor staff and working in production tasks that support the need at any given time. They will provide direction to staff members and assist supervisors with follow up, coaching, and supporting administrative duties that will allow Supervisors to be more available to engage with staff. Responsibilities are broken into two main functions. One function of this role is to support the Production staff as needed, by being an advocate, promoting opportunities for engagement with their leadership, and working as needed in at least 1 production area to support business goals; there will be higher production time needs during high volume months such as 1-1 readiness and Holiday periods. The second function is supporting the Operations Supervisors by owning administrative tasks, helping coordinate projects and meetings, and streamlining consistent messaging between all 3 shifts in order to maximize the efficiencies of the Pharmacy.

ESSENTIAL FUNCTIONS :

Work in Production areas as assigned based on the need of the Operation and current training. Provide peer support to floor employees to escalate work requests and support needs. Assist in the efficient management of programs to ensure timely response and completion. Examples would be Cigna Standout Recognition, Covid audits, New Hire Orientation, Shift cross over, Safety, and the Flex Program. Preparing Reports to all Supervisors in a timely manner. Working in collaboration with RMG partners. Scheduling and Coordinating Ad Hoc and Recurring Meetings for Supervisors, as well as scheduling reminders for follow up and due dates in Outlook Calendars. This will include setting up times for Interviews as needed and team huddles. Posting critical, approved communications throughout the pharmacy in all areas of Operations to ensure consistency. This will include monitoring communications and removing any outdated postings. Posting consistent Overtime Sign up requests in all departments for all shifts as needed. This will include pulling information from the postings for the management team as needed. This may include attending Operations Overtime planning meetings. Support tracking of Supervisor tasks and providing reminders appropriately. This will include things such as shift differential changes, new hire calls, interview support, shift preference forms. Enter requests as needed for Real Estate, IT, or Supply needs to ensure the correct functioning of the Pharmacy. Assist with Supply needs and distribution and copying as needed. Collecting records as needed for Training/CTL completion and maintain cross training data for each department. These must be consistent between all 3 shifts. Assist as needed with Engagement Activities.

SCOPE OF JOB

The Operations Representative will provide support to production areas by working in assigned groups as needed, such as our Warehouse, Packing, or Bulk and Prep Areas. They will support production in all areas by ensuring supplies are replenished, help with communication between teams, work with area teams on projects such as Kan Ban roll outs and inventories. They will help ensure appropriate distribution of workload and workflow, assisting with resource allocation between teams if needed. They will provide administrative support as needed to all of the Supervisors on Shift. They are responsible for ensuring that all 3 shifts are getting the same communications/information and support by daily coordination with the other Operations Representatives. They are responsible for staying trained and current in a minimum of one production are of the pharmacy and working as needed in production.

Experience and Professional Qualifications:

• Must be trained and remain current in a minimum of One Back End Pharmacy area
• Project coordination skills
• Must exercise good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity
• Must have excellent written communications and interpersonal skills
• Ability to keep deadlines straight and prioritize work accordingly
• Ability to anticipate future needs and act proactively
• Must be comfortable operating in a fast-paced environment
• Self-starter with excellent organizational skills and ability to work independently, remain focused and execute work with minimal supervision, able to multi-task effectively
• Experience with Outlook Scheduling, Excel and Word a plus
