This exciting new role supports the Managing Director and Hotel Manager in handling a wide range of administrative and executive support-related tasks. The ideal candidate will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The person will have the opportunity of great exposure to the daily operations of a luxury brand. The ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to provide hotel support and services in accordance with the Aman’s Core Ambitions, Purpose, Brand Pillars, Values, Competencies and Spirit.
This position is located at Aman New York, New York City, USA with an annual compensation range of $85,000- 95,000.
Responsibilities:- Managing an active calendar of appointments; composing and preparing correspondence that is sometimes confidential; updating Outlook contacts
- Driving a variety of projects assigned by the Managing Director and Hotel Manager
- Arranging travel plans, itineraries and agendas for the Managing Director and Hotel Manager including relevant approval forms and completing expense reports
- Representing Aman by welcoming guests; answering questions and meeting requests
- Managing external contacts; proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication
- Completing administrative tasks such as printing, reviewing outside mail, handling invoices, scanning and filing documents, and maintaining executive files
- Previous personal assistant or executive assistant experience at senior level
- Strong organizational skills
- Able to handle a multitude of tasks in an intense, ever-changing environment
- Excellent communication skills, both written and verbal
- Proficient in Microsoft Office
- Must possess outstanding guest service skills, professional presentation and sophisticated interpersonal skills, be sensitive to cultural nuance
- Previous experience with Concur
- Knowledge of Opera and Birchstreet systems
- Have the right to work in the US
