About the Job
The Personal Assistant (PA) position is based out of the Lexington, KY office and reports to the Principal. Responsibilities include:
- Extensive travel following the itinerary of the Principal, which might include domestic and international destinations
- Handle personal matters for the Principal, including but not limited to, answering personal calls, running errands as necessary, organizing personal events, etc.
- Handle all personal matters as it relates to home maintenance, non-business-related travel and events, some health-related matters such as prescription pick up & appointment scheduling as well as wardrobe/styling appointments
Responsibility:
Responsibility can be explained as your day-to-day work, something that is your job, or you are required or expected to do. The responsibility of the Personal Assistant includes the following:
- Coordinates with other family office staff for home cleaning and management
- Acts as contact for the principal, vendors, guests, friends, additional staff, and family office employees and neighbors
- Manages the principals' personal calendar, coordinating a busy work schedule with his chief of staff, often working with multiple timezones
- Provides personal administrative support to the principal - routes invoices to family office accounting team
- Makes purchases for the principal - as needed
- Plans, confirms, and manages meetings, reservations, appointments, travel arrangements and complex itineraries
- Travels with the principal on work and personal trips and manage itinerary as needed
- Assists the principal with sensitive matters and coordinates with third parties and members of the principal’s professional staff
- Supports extended family members' various requests and travel accommodations
- Runs errands for the principal
- Obtains signatures
- Purchases and returns/exchanges
- Manages large parties and events with event coordinator
- Proficient with Microsoft Office Programs (Outlook, Excel, Word, PowerPoint, Etc.), Zoom
- A valid driver’s license, passport required
- Basic first aid training is a plus (in case of accidents)
- Familiarity with booking personal travel, dinner reservations
- 4+ years of experience in a Personal Assistant or Executive Assistant role
- Ability to be responsive to ad hoc requests after work hours
- Confidentiality
- Ability to manage things "on the fly" and likes to travel.
- Familiarity with the thoroughbred horse industry is preferred
Salary
75,000 - 125,000 /year
