About the Job
The law firm is seeking a highly motivated and skilled Personal Assistant to support our Founding Partner. This role requires a proactive individual with excellent organizational and communication skills to manage daily tasks and ensure smooth office operations. Customer service and bilingual skills are preferred.
Responsibilities:
Serves as the primary point of contact for the Partner with internal and external stakeholders.Efficiently handle incoming requests and inquiries.
Manage the Partner's calendar, schedule meetings and appointments, and provide timely reminders.
Coordinate and manage complex travel arrangements.
Create and maintain an organized documentation and filing system, both physical and electronic.
Prepare reports, presentations, and briefs as required by the Partner.
Perform client intake and manage electronic client files.
Facilitate clear and effective communication with clients.
Answer and direct phone calls.
Generate monthly invoices and monitor the collection of legal fees.
Perform other administrative tasks related to legal operations as needed.
Requirements and Skills:
Strong understanding of office management systems and software applications.Excellent planning, time management, and prioritization skills.
Exceptional verbal and written communication skills.
Ability to maintain discretion and confidentiality with sensitive information.
Proficiency in MS Office/Google Suite.
Tech-savvy with a willingness to learn new software systems.
High school diploma or equivalent; college degree not required.
Adaptable and able to anticipate the needs of the firm and the Partner.
Self-motivated, proactive, detail-oriented, and a team player.
Direct and succinct communicator with high-level organizational skills.
Bilingual skills are a plus.
