Job Description
The Payroll Specialist is a key member of the HR department, serving as a business partner for payroll needs. The primary focus for this role includes processing bi-weekly non-exempt and exempt payroll, monthly expatriate payroll, tax profile setup and maintenance, and general payroll and tax recordkeeping, as well as being the conduit between HR administration and finance operations. The individual in this role should be comfortable handling multiple assignments and can professionally handle the multi-faceted requirements of a fast paced, global HR department.
Payroll Responsibilities include:
Process payroll for hourly, salaried, temporary, and expatriate employees; including reviewing and importing hours from time and attendance system, entering tax and direct deposit information, administering regulatory requirements, e.g., garnishments, tax levies, and support orders, and other adjustments to pay as necessary.
Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
Ensures compliance with federal, state, and local payroll, wage and hour laws and best practices.
Implement and maintain payroll best practices to improve efficiency
Prepare quarterly tax reports.
Administer the time and attendance policy and paid leave policy for all employees.
Produce scheduled and ad-hoc reports pertaining to payroll, particularly for the Finance team.
Other responsibilities include:
Administer changes and follow HRIS processes including new hires, terminations, and employee changes.
Maintain compliance documents, such as I-9’s for all employees.
Maintain HR records and all HR systems ensuring timely and efficient data integrity.
Create employee files ensuring proper maintenance.
Participate in and / or lead HR-related projects.
Collaborate with the finance team on payroll <-> finance process flow, inquiries, etc.
State and local registration as needed.
Other duties as required to support the HR team.
Education & Experience:
Proven experience & ability administering payroll processes with various payroll schedules required.
Proven ability administering payroll tax registration and compliance required.
Experience with ADP Workforce Now required.
Strong computer and administrative skills
Knowledge of and proficiency in MS Office, particularly Excel
Strong verbal and written communication skills, ability to resolve conflicts and think critically.
Knowledge of HR-basics is required – such as wage and hour law and general HR compliance.
Bachelor’s Degree in Human Resources or Business Management preferred.
