Job Summary: Vaco is seeking a detail-oriented and organized Payroll Specialist to manage and oversee payroll processes for a great organization. The Payroll Specialist will be responsible for processing employee payroll, ensuring compliance with federal, state, and local regulations, and providing accurate and timely payroll reporting. This role requires strong problem-solving skills, a keen attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
- Process full-cycle payroll for all employees, including timekeeping, overtime, bonuses, and commissions
- Ensure compliance with federal, state, and local payroll tax laws and regulations
- Maintain accurate payroll records and ensure timely submission of payroll tax filings
- Respond to employee inquiries regarding paychecks, deductions, and taxes, resolving any issues professionally
- Generate payroll reports for management, legal, accounting, and regulatory purposes
- Audit payroll records regularly to ensure accuracy and compliance with company policies and legal requirements
- Collaborate with the accounting, HR, and legal teams to ensure accurate payroll processing and reporting
- Implement and continuously improve payroll processes to increase efficiency and accuracy
- Assist with year-end reporting, including W-2s, tax filings, and audits
- Stay up to date on payroll best practices, laws, and industry trends
Qualifications:
- 2+ years of experience in payroll processing, including multi-state payroll (preferred)
- Strong knowledge of federal, state, and local payroll tax regulations
- Experience with payroll software and systems (e.g., ADP, Paycom, etc.)
- Proficiency in Microsoft Excel and other data analysis tools
- Strong organizational skills and attention to detail
- Excellent communication skills and the ability to handle sensitive information confidentially
- Ability to work well under pressure and meet deadlines
Preferred Skills:
- Experience with process improvements and automation in payroll operations
- Experience with benefits administration and payroll tax filings
