As Payroll Specialist, you will part of a team where you’ll manage multi state and company payrolls and the processing functions. You’ll ensure pay, and time and attendance is processed timely, accurately, and in compliance with government regulations. As a Finance team member, you’ll also collaborate with other teams to help build efficient systems. In this role, you will report to the Payroll Manager and will primarily be responsible for processing bi-weekly payroll for 2,300+ employees. Ideally, you will have at least 5+ years of experience working in a payroll department & 5+ years’ experience with ADP Workforce Now and must be comfortable working in a fast-paced environment.

Responsibilities:
+ Responsible for bi-weekly & Monthly payroll processing for 1,400-2,000 employees.
+ Enter and verify payroll control sheet data into each applicable payroll run and perform payroll entries including, but not limited to, deductions, payments, and retro payments.
+ Understand Tax withholding requirements for multi-state and local taxes and set up taxes for employees based on their worked and lived in location.
+ Handles the registration process for state withholding tax ID/account, state unemployment insurance tax ID/account, and other local tax accounts.
+ Ensures that the payroll agency (ADP) files monthly and quarterly reports timely and accurately to prevent penalties and interests.
+ Manages year-end process including W2s, other tax forms and corrections as needed.
+ Assist with updates and data entries such as: new hires, terminations, and status changes
+ Perform routine audits and process adjustment entries (year-to-date taxes, taxable wages, earnings and deductions) on employee records.
+ Accurately audit timesheets to ensure wages and benefits are properly processed.
+ Research, analyze, and resolve all payroll discrepancies, escalating up to management as needed.
+ Ensure accurate taxation and garnishment is applied to each employee record.
+ Remain in compliance with all legal and institutional requirements.
+ Respond to employee questions in a timely manner.
+ Manage the processing of exempt/non-exempt multi-company and state payrolls ensuring accurate salaries, benefits, garnishments, taxes and other deductions as well as new company and consolidations.
+ Review and set up payroll tax for legal entities and federal, state, local jurisdictions, and partner with third party vendors such as tax filing services and HRIS systems on changes, issues and resolutions.
+ Perform reviews of tax filings to ensure alignment and reconciliation with G/L records; reconcile employer and employee level; timely remittances of taxes and accurate reporting of withholdings
+ Create internal and external reports and support audit data requests.
+ Create and distribute weekly/bi-weekly payroll reports to finance any other stakeholders.
+ Work on key projects assigned to the payroll team as directed by the Manager of Payroll.
+ Assist with any adhoc inquiries and tasks as instructed by the Manager of Payroll .
+ Run ad hoc reports for various stakeholders as needed
+ Quarterly Tax Filling and Overall Tax Resolutions
Qualifications:Required:
+ Bachelor's degree and a minimum of 5 years of payroll experience required, including but not limited to timecard uploads, auditing payroll changes/timecard entries and payroll processing.
+ Experience processing in multi-state & multi company payroll
+ 7+ years ADP Workforce Now
+ Solid working knowledge of tax code & tax resolutions
+ Experience with payrolls all US states including tax reporting (CA, NY, MA, NJ highly experienced)
+ Exceptional communication skills, both written and verbal
+ Aptitude for numbers and exceptional commitment to accuracy
+ Attention to detail and ability to prioritize tasks
+ Experience with multi-state payroll and multiple tax entities
+ Strong knowledge of applicable Federal, State HR/Payroll, IRS regulations
+ Microsoft Office, with proficiency in Excel spreadsheet (pivot table and look-ups)
+ Custom report writing with payroll/HRIS systems
+ Highly organized, analytical and ability to lead or manage projects and deadlines
Preferred:
+ Certification in payroll (CPP) and Six Sigma Green Belt
+ CPP (Certified Payroll Professional) a Plus
+ 7+ years ADP payroll experience including Workforce Now
+ Mergers and Acquisitions experience as it relates to payrolls and integrations
+ Processing multiple payrolls for over 2,300 employees
