Salary: The expected pay rate for this position is $30.00-$34.00 per hour. The actual pay rate offered may vary on multiple factors including, but not limited to, experience, knowledge, skills, certifications and/or location.
This position will be onsite in Des Plaines, IL.
POSITION SUMMARY
The Payroll Specialist plays a critical role within the Human Resource Department by ensuring accurate and timely payroll processing, including compliance with multistate payroll tax regulations, and international payroll. This position will provide administrative support in areas of payroll, worker’s compensation, employee benefit deductions, contributions related to retirement plans, and other employee programs. Additionally, the role will provide insightful reports to support overall business operations. This role will report to the Human Resources Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Perform full-cycle payroll processing for AES on a weekly and bi-weekly basis, ensuring timely and accurate completion of payroll functions across multiple states and international location, specifically Canada. Address any technical or operational challenges that arise.
Process all payroll-related changes, including additions, deletions, and updates, ensuring compliance with state and federal regulations.
Administer the Time and Attendance module, ensuring accurate timekeeping and related reporting activities.
Track and maintain attendance records, advising department managers on issues related to excessive absences or tardiness. Collaborate with HR and department managers to address any discrepancies or non-conformances in payroll or attendance policies.
Ensure proper reporting of payroll data, including generating reports related to payroll, benefits, and other financial aspects. Assist with payroll audits and provide reports for regulatory compliance and management decision-making.
Ensure compliance with multistate payroll tax regulations, accurately managing tax withholdings and deductions based on state-specific requirements to support company-wide payroll operations.
Maintain and update employee personnel files, ensuring compliance with applicable regulations.
Process health, dental, life, and disability insurance premiums on a monthly basis, including changes/additions/deletions to participant enrollments.
Assist in administrative duties which may include employment verifications, document management and updating internal databases.
Communicate with HR on any pay related issues affecting employee relations or with regard to leaves of absences.
Provide exceptional customer service by responding to employee inquiries about payroll, benefits, and other related issues.
QUALIFICATIONS AND EXPERIENCE
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Expertise in ADP payroll systems or equivalent.
5+ years’ experience processing full-cycle payroll.
Multistate payroll tax experience required; international payroll experience preferred (due to operations in Canada).
Experience with Time and Attendance modules.
Strong knowledge of standard IT tools (Excel, Word, PowerPoint).
Knowledge of ERP systems is a plus.
Strong analytical and problem-solving capabilities.
Excellent attention to detail and consistency in performing tasks.
Ability to generate detailed reports related to payroll, budgets, and benefits.
High level of integrity and confidentiality in managing sensitive employee information.
EDUCATION, CERTIFICATES, LICENSES, REGISTRATIONS
High school diploma or equivalent.
FPC or CPP certification preferred but not required
