Job Description
The Payroll Specialist will be responsible for overseeing and managing the payroll process for their assigned organizational departments, ensuring accuracy, compliance, and timely distribution of pay to all employees. The ideal candidate will have experience using payroll systems such as ADP and Paycom etc. This role requires a highly organized, detail-oriented individual who is adept at handling sensitive payroll information and working collaboratively across teams.
Program Specific Responsibilities
- Managing the bi-monthly payroll processes, ensuring that all employees are paid accurately and on time, including calculating regular and overtime hours, bonuses, commissions, and adjustments.
- Efficiently managing payroll systems (ADP, Paycom), ensuring accurate configuration, data input, and updates.
- Ensuring payroll practices are in compliance with federal, state, and local regulations, including tax laws, wage and hour laws, and benefits administration.
- Utilizing MS tools such as Excel to generate detailed reports, including payroll summaries, tax calculations, and budget analysis. Provide customized reports as needed for internal departments and leadership.
- Performing regular reconciliations of payroll-related accounts (e.g., taxes, benefits deductions) and work with accounting to ensure accurate posting of payroll expenses.
- Responding to employee inquiries related to payroll, taxes, deductions etc.
- Providing excellent customer service while ensuring confidentiality and professionalism.
- Identifying and implementing improvements in payroll processes, including automation opportunities, to enhance efficiency and reduce the potential for errors.
- Work closely with HR, Fiscal, and other departments to ensure smooth payroll processes, resolve discrepancies.
- Process monthly payroll of about 100 Volunteers
- Assist with benefit account reconciliations, as needed
- Any other assignments as required.
Qualification
- BA from accredited university with emphasis in Business or Accounting preferred
- Minimum 5 years of experience in payroll processing, preferably in a non-profit or public sector environment.
- Strong proficiency with payroll systems such as ADP and Paycom; experience in both is highly preferred.
- Advanced Excel skills, including the ability to work with large datasets, pivot tables, v-lookups, and complex formulas.
- Knowledge of California state payroll and labor laws, including tax regulations and wage requirements.
- Strong attention to detail with the ability to handle confidential information with discretion.
- Excellent problem-solving skills, with the ability to identify discrepancies and resolve issues promptly.
- Strong communication skills, with the ability to interact professionally with staff and leadership.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Experience in non-profit organizations is a plus.

FLSA Status: Exempt
Salary Range: $80,000 - $90,000 Annually (DOE)
